The Office Manager serves as the operational heartbeat of Golden State Pet Cremation. This role ensures that every client interaction, logistical workflow, and administrative process is handled with accuracy, empathy, and consistency. The Office Manager supports our field service representatives and crematorium technicians, maintains the integrity of our records and inventory, and provides a steady, compassionate presence for families during difficult moments.
This is a highly detail-oriented role focused on coordination, service excellence, and operational reliability. This role does not include people-management responsibilities.
The Role
- Maintain accurate records for cremation services, client files, chain-of-custody documentation, inventory, and compliance materials.
- Manage scheduling for witness cremations, client appointments, drop-offs, pick-ups, and internal operational needs.
- Oversee digital and physical filing systems and all inbound/outbound correspondence with professionalism and compassion.
- Serve as the primary client contact, providing clear information, empathetic support, and timely handling of concerns.
- Coordinate personalized memorial requests and ensure all client interactions reflect dignity and respect.
- Process payments, generate invoices, support reconciliations, and assist with vendor coordination and regulatory compliance.
- Support daily operations by dispatching field routes, assisting crematorium technicians, and helping onboard new staff.
- Maintain inventory, prepare memorial items, ensure accurate packaging of remains, and oversee facility cleanliness and presentation.
About You
- 3+ years of experience in administrative, office management, logistics, or customer service - ideally in a sensitive or high-emotion environment.
- Highly organized, detail-focused, and reliable in following procedures and managing multiple priorities.
- Excellent written and verbal communication skills, with the ability to convey information clearly and compassionately.
- Calm, empathetic, and emotionally intelligent when supporting grieving families or navigating sensitive situations.
- Comfortable working in a fast-paced, multi-step operational setting with cross-functional partners.
- Strong collaborator who supports technicians, field representatives, and leadership as needed.
- Proficient with Google Workspace and Microsoft 365.
- Dedicated to ensuring every family receives respectful, dignified, and high-quality service.
