Due to continued growth, we are seeking a detail-oriented and process-driven New Vehicle Sales Administrator to join our Head Office Sales Administration team, working Monday to Friday from 8:30am to 5pm.
This role is vital to ensuring that every vehicle order is processed accurately, compliantly, and on time. It requires excellent organisational skills, confidence in following established procedures, and the ability to manage multiple moving parts without losing focus on detail.
The ideal candidate enjoys structured work, takes pride in accuracy, and understands the importance of following process in a fast-paced commercial environment.
Reporting to the Sales Administration Manager, you will take ownership of the full vehicle order lifecycle, ensuring all internal processes and audit requirements are adhered to.
Other duties will include:- Processing New Truck Factory Orders, Invoicing, Taxing and Debt Control accurately and within deadlines
- Monitor & Control the New Vehicle Sales Orderbank from order placement through to customer delivery
- Ensuring all documentation, systems and online deal files are accurate and fully audit compliant
- Planning truck movements and coordinating third party fitments
- Scheduling PDI dates in line with confirmed delivery commitments
- Raising purchase orders using the Orderwise system
- Maintaining Dealerpoint and associated online systems
- Managing stock control using Excel
- Compiling delivery packs and handover documentation
- Supporting month end Cost of Sales reporting
- Handling damage claims and coordinating delivery notes
- Providing structured administrative support to the New Vehicle Sales Team and THVL Leasing department
- Has previous motor trade, transport planning or distribution experience (desirable but not essential)
- Is highly organised and methodical in their approach
- Is comfortable working within established processes and audit requirements
- Has strong attention to detail and takes pride in accuracy
- Can prioritise effectively in a fast paced environment
- Is confident using Microsoft Office, particularly Excel
- Communicates professionally and confidently with internal teams and customers
- Takes ownership of their workload and works well independently
You will be someone who values structure, understands the importance of process compliance and is confident challenging inaccuracies where required.
