About this job

We are seeking a highly organised and student‑focused Student Services & General Administration Officer to join our busy Student Services office on a maternity cover basis. The role is primarily based within the Student Services office and will act as the first point of contact for students throughout the school day, providing support and assistance in a calm, professional and caring manner.

The candidate will support students with day‑to‑day queries, coordinate student services processes, ensure safeguarding, first aid and student welfare procedures are followed effectively, and complete varied administration tasks as directed. Excellent communication and organisational skills, the ability to work positively and professionally with young people, and confidence to work independently with a varied and fast‑paced workload are required.

Main Responsibilities
  • Act as the first point of contact for students within the Student Services office, responding to queries and concerns in a professional and supportive manner.
  • Record and monitor the administration of medicines for students in accordance with school policies and procedures.
  • Oversee student first aid administration and ensure all incidents, treatments and records are accurately recorded and followed up.
  • Assist with day‑to‑day management of the school shop, including cash handling, stock control and ordering of supplies.
  • Manage the school’s lost property service, organising, logging, distributing and disposing of items appropriately.
  • Support the administration and data input of student admission forms and associated pupil records.
  • Provide administrative support to the Attendance Manager & team.
  • Maintain positive relationships with students, parents, carers, visitors and staff, ensuring a welcoming and supportive environment.
  • Work as part of an office team and support office colleagues whilst contributing to the vision and ethos of the school and setting high personal standards in all areas of work.
  • Support general office requirements including filing, laminating, completion of forms, sorting ingoing and outgoing mail etc.
  • Support the reprographics department, including photocopying and stationary orders.
  • Carry out typing/word processing tasks accurately and in a quick and efficient manner as required, producing Attendance letters and Registration Certificates when necessary.
  • Maintain and update manual and computerised records/management information systems, including producing lists and information such as Brom Com data.
  • Carry out other general administration duties as instructed, such as taking minutes of meetings and supporting the organisation of Open Evenings and Curriculum Evenings.
  • Ensure the smooth running of the school’s reception, postal, telephones, stationery and hospitality facilities.
  • Enter pupil information into the Bromcom database such as medical, consents, dietary, photograph permission information, and file and archive records.
  • Deal with, forward and respond to emails received by or being sent by the school.
  • Comply with and assist with policies and procedures relating to child protection, health & safety, security, confidentiality and data protection, reporting all concerns to an appropriate person.
  • Assist with the management of the school’s policies, working with the Senior Leadership Team to ensure that they are compliant, reviewed, updated and approved by Governors before publication on the website.
