Overview
The Hewitt Fertility Centre is one of Britain’s largest Reproductive Medicine units providing a comprehensive service to both NHS and fee paying patients. The centre is wholly committed to delivering a high quality service for a range of fertility investigations and treatments.
Responsibilities- Provide comprehensive secretarial and administrative support to designated clinical teams as described in the Service Specification.
- Undertake diary management, clinical typing, and administrative support to consultants and other staff members within the Hewitt Centre.
- Deal with clinic correspondence, letters and reports as required, create documents, manage leave, and handle email as agreed.
- Act as key interface for patient enquiries and correspondence, supporting clinicians in managing clinical pathways including results and information requests.
- Assist with telephone enquiries, filing and other associated administrative tasks.
- Ensure filing in patient records and the Hewitt Centre in accordance with the Trust Records Management Policy.
- Provide a high‑quality clinical typing service to consultants, clinicians and other unit staff, ensuring accurate medical terminology.
- Maintain an up‑to‑date electronic and paper filing system appropriate to the department, filing patient records per Trust policies.
- Manage clinical correspondence and results returned to clinicians, ensuring appropriate filing.
- Handle patient records and ensure tracking as per records management procedures.
- Provide a telephone answering service for patients contacting the clinical team, passing them to the relevant service or giving necessary advice, exercising judgment in enquiries.
A background in an administrative role including PA skills is essential. The successful candidate should be a bright, committed, and enthusiastic individual with excellent communication skills and proficiency in diary management, clinical typing, and office filing in accordance with Trust Records Management Policy.
