We are recruiting for an experienced and enthusiastic Service Administrator / Coordinator to join a busy and successful engineering service operation based in Speke.
This is an excellent temp-to-perm opportunity for someone who enjoys working in a fast-paced environment, is confident working with data and figures, and thrives when juggling multiple priorities.
The company provides conveyor servicing and engineering support to major organisations within the parcel and logistics sector. With a nationwide team of approximately 40 engineers and service cover operating 365 days a year, the Service Department plays a vital role in keeping operations running smoothly.
You will join an established team of six people in a varied role combining service administration, engineer coordination, job costing, quotations, billing and reporting.
The RoleNo two days will be exactly the same.
Your morning will typically begin by reviewing service calls and jobs received overnight, establishing what action is required and ensuring information is accurately recorded and progressed.
Throughout the day, you will have regular contact with field-based engineers who may be calling for information regarding their current job, their next assignment or other service-related queries.
This is not a traditional help desk role
. It is a busy administrative and commercial position requiring someone who can think on their feet, work accurately and remain organised when several things are happening at once.
Your duties will include:
- Reviewing service calls and jobs received overnight
- Liaising with a nationwide team of approximately 40 field engineers
- Providing engineers with job and service information
- Costing completed service and engineering jobs
- Preparing and issuing customer quotations
- Creating and maintaining billing information using Excel
- Producing weekly and monthly One Bills, with some daily billing requirements
- Raising and processing purchase order numbers
- Using Sage for relevant financial and administrative processes
- Reconciling payments and identifying discrepancies
- Producing weekly reports
- Working with significant volumes of operational and financial data
- Ensuring job and customer information is accurate and up to date
- Supporting colleagues across the Service Department
- Responding to changing priorities and urgent service requirements
We are looking for someone who is enthusiastic, commercially aware, highly organised and comfortable working under pressure
.
The successful candidate will need to be confident with numbers and spreadsheets. Although the team has dedicated data analysis support, this is a data-intensive position, so you must enjoy working with detailed information and be able to maintain a high level of accuracy.
You will ideally have:
- Previous experience within administration, service coordination, engineering support, billing or a similar role
- Good working knowledge of Microsoft Excel
- Experience creating or maintaining Excel-based billing information
- Previous Sage experience would be highly advantageous
- Experience with invoicing, billing, purchase orders or payment reconciliation
- Strong numerical and data-handling skills
- Excellent attention to detail
- Confident telephone and communication skills
- The ability to prioritise a busy and changing workload
- A positive, enthusiastic and proactive approach
- The ability to remain calm and accurate under pressure
- A genuine team-player mentality
Experience with in an engineering, maintenance, manufacturing, logistics, facilities management or field-service environment would be particularly advantageous.
Working EnvironmentThis is a genuinely fast-paced department and would particularly suit someone who enjoys being busy.
You will be joining a close-knit team of six who work together to support the company's field engineers and customers. The successful candidate needs to be prepared to get involved, support colleagues and adapt when priorities change.
The business provides service cover 365 days a year
, including bank holidays and the Christmas period.
