About

The Role

We are looking for an experienced and highly organised Events Project Assistant to join our small, collaborative team and support the delivery of client projects across sporting events, horse racing, festivals, and other live event environments.

This is an excellent opportunity for someone with around 2 years’ experience in events, project coordination, event production, exhibitions, experiential marketing, branding/signage, or a similar environment
, who is ready to develop their skills and take on greater responsibility.

You will work closely with our Account Managers
, supporting them with the coordination and delivery of client projects from planning through to onsite completion. You will have regular client, supplier, and onsite interaction, so we are looking for someone who is confident, professional, and capable of working independently within clearly defined responsibilities.

This is a varied role that would suit someone who enjoys working at pace, solving problems, communicating with people, and seeing projects come together in a live event environment.

Major Responsibilities Project & Event Coordination
  • Support the Account Manager with the planning and coordination of client projects from initial brief through to completion.
  • Maintain accurate project information, timelines, actions, and documentation.
  • Assist with preparing, updating, and circulating project programmes and schedules.
  • Help coordinate project requirements, including timings, materials, labour, and subcontractors.
  • Monitor progress against agreed deadlines and promptly highlight potential issues or delays to the Account Manager.
  • Assist with preparing project information, specifications, and tender documentation.
  • Attend project and site meetings with the Account Manager where required.
  • Take clear meeting notes, circulate actions, and follow up on agreed tasks.
  • Assist with site measurements, specifications, and project planning.
  • Support the Account Manager and wider team with the smooth delivery of projects onsite.
Client & Supplier Communication
  • Build and maintain positive, professional relationships with clients, suppliers, and subcontractors.
  • Support the Account Manager with day-to-day client communication and project updates.
  • Respond professionally to routine project queries and ensure relevant information is passed to the appropriate person.
  • Liaise with suppliers, contractors, and internal colleagues to help keep projects on track.
  • Escalate more complex commercial, client or delivery issues to the Account Manager promptly.
Commercial & Administration Support
  • Assist with preparing quotations and project cost information.
  • Develop a good understanding of project budgets, costs, and commercial considerations.
  • Provide accurate information to support invoicing and billing processes.
  • Assist with the preparation and checking of project and financial documentation.
  • Maintain accurate records within the company’s CRM, invoicing, and project-management systems.
  • Ensure project documentation and correspondence are organised, accurate and handled confidentially.
Onsite Event Support
  • Attend client sites, sporting venues, festivals and other event locations as required.
  • Support site inspections, measurements, planning and project preparation.
