Office Administrator/ Coordinator
As a Field Service Administrator / Coordinator, you will play a key role in supporting the efficient delivery of JBT Marel’s field service operations. You will coordinate and oversee a range of administrative activities, ensuring service requests, schedules, documentation, time reporting, expenses, and customer invoicing are processed accurately and on time. Working closely with Field Service Engineers, Service Management, customers, and internal teams, you will help ensure a seamless service experience from initial request through to completion.
You will also act as an informal point of support for less experienced colleagues, helping to resolve more complex administrative queries and sharing best practices.
- Coordinate and manage administrative activities supporting field service operations, ensuring requests and tasks are completed accurately and on time
- Maintain field service schedules, assignments, and resource availability
- Process time reporting, expense claims, customer invoicing, and cost-allocation corrections
- Prepare and distribute visit documentation, service reports, and performance information
- Communicate with customers and Field Service Engineers to confirm appointments, manage enquiries, and resolve scheduling issues
- Provide administrative support and guidance to junior coordinators and administrative colleagues
- Work closely with Service Management and internal teams to ensure efficient and coordinated service delivery
- Maintain accurate records and documentation in relevant service, CRM, and ERP systems
- Follow established procedures and support compliance with company policies, quality standards, and regulatory requirements
- Identify opportunities to improve field service administration, processes, and service quality
- Support training and development activities for field service administrative teams
- Provide additional administrative support to Field Service Management as required

- Experience working with time reporting and expense processes is advantageous
- Strong Microsoft Office skills, particularly Excel and Outlook
- Experience working in a technical, engineering, manufacturing, or industrial environment is an advantage
- Ability to work effectively within a multicultural and multidisciplinary organisation
- Good written and verbal English skills; additional languages are an advantage
