Administrative Assistant III

Full Time, FTE 1, Classification:
Office Professional Grade 8.

Job Summary

With minimal supervision and direction, the Administrative Assistant III provides advanced secretarial support to administrative personnel. Using independent judgment, this position coordinates clerical or student employees.

Required Qualifications
  • Thirty (30) college credits related to the position.
  • Two (2) years of experience as a secretary or related.
  • General clerical skills including accuracy in basic math, filing, proofreading, typing, spelling and data entry.
  • Ability to understand and operate appropriate office equipment, including personal computers and working knowledge of department‑specific software.
  • Working knowledge and proficiency with Microsoft Word and Excel.
  • Ability to multitask.
  • Strong organizational and project management skills.
  • Good communication skills and the ability to work with a diverse population.

Job Duties
  • Prepares material from rough draft to final form (letters, memos, manuscripts, tables, charts, etc.), correcting sentence structure, grammar, spelling, and punctuation as required. Essential Duty? Yes.
  • Drafts forms, composes form letters, and compiles factual reports which require exercise of judgment and originality. Essential Duty? Yes.
  • Requests, gathers, and/or provides factual information, requiring reference to a variety of sources. Essential Duty? Yes.
  • Screens mail and selects correspondence which may be handled by other than immediate supervisor(s) and addressee. Essential Duty? Yes.
  • Maintains record keeping and/or filing systems (including computer files). Essential Duty? Yes.
  • Schedules appointments and makes travel arrangements for supervisor(s). Essential Duty? Yes.
  • Arranges for meetings and conferences and takes minutes as required. Essential Duty? Yes.
