Job Overview

We are looking to appoint a self‑motivated, enthusiastic person to join the Central Child and Adolescent Mental Health Service Team as an Administration Assistant. The successful candidate will provide administrative support to a team of clinical and operational staff, working under pressure within a busy working environment. The postholder must have a flexible approach to work to support team members and meet service demands.

Previous hospital experience is not essential, but the successful applicant must be able to demonstrate an ability to provide excellent customer service and have IT skills. The ability to communicate effectively, handle sensitive situations and work to tight deadlines ensuring effective service delivery is essential. A working knowledge of WPAS is desirable, but training will be provided.

Main Duties of the Job

A good telephone manner and communication skills are essential. A knowledge of the hospital’s Patient Administration System is desirable, although training will be given. The ability to speak Welsh would be beneficial but is not essential. The postholder will demonstrate a professional and sensitive manner at all times and maintain strict confidentiality while dealing with patients, relatives and visitors with courtesy and discretion.

Responsibilities
  • Provide an accurate and prompt administrative function to facilitate the delivery of an efficient appointment booking service.
  • Provide comprehensive reception, clerical and typing support for the Child and Adolescent Mental Health Service, demonstrating a courteous, professional and sensitive manner at all times.
  • Prioritise tasks within the scope of own responsibility and demonstrate flexibility in work.
  • Maintain strict confidentiality when dealing with patients, carers, relatives, medical staff and other service users in both telephone and written communication.
  • Contribute to a cohesive and integrated admin function of the service.

Person Specification

Qualifications and/or Knowledge (Essential) – Good general education. Level 2 IT/Word/Text Processing qualification or demonstrable skills/experience.

Qualifications and/or Knowledge (Desirable) – NVQ Level 2 Business Administration.

Experience (Essential) – Previous experience in a clerical, administration or reception role.

Experience (Desirable) – Experience working within the NHS (hospital environment).

Aptitude and Abilities (Essential) – Function efficiently under pressure and meet deadlines. Ability to prioritise workload.

Aptitude and Abilities (Desirable) – Ability to speak Welsh.
