As a Governance Administrator you will provide comprehensive support across all aspects of governance, ensuring compliance with regulatory requirements; coordinating and managing internal audit recommendations; overseeing policy monitoring and updates; servicing the Board and Committees; and maintaining a range of corporate governance registers.

Main Tasks
  • Governance Administration

    Providing efficient and effective administration to support all governance activities, to include, but not limited to the following;

    • Collating and organising strategic and operational action plans and policies, monitoring completion of actions and policy reviews, liaising with action and policy owners, updating action plans and policies following review. Ensuring actions plans and correct policies are stored and communicated correctly and effectively.
    • Manage the administration of complaints, ensuring accurate recording, monitoring progress, and proactively following up with staff to ensure agreed timescales and performance targets are consistently met.
    • Actively support compliance with all applicable regulatory requirements, ensuring accurate records are maintained and procedures are followed in line with organisational and statutory standards.
    • Accurately record minutes during meetings, including Board and Committees, and provide administrative support by preparing and collating papers in advance to ensure meetings are well organised and effective.
    • Track and monitor actions arising from meetings, ensuring they are completed within agreed timescales and following up on deadlines to support timely delivery.
    • Support and deliver activities that ensure organisational readiness for inspection.
    • Maintain accurate and up to date records in accordance with data protection legislation.
    • Provide support in the effective use of the board portal as required, ensuring information is accessed, uploaded, and maintained accurately.
    • Provide effective administrative and operational support to the Governance Manager across a range of governance related activities.
    • Proofread and format documents to ensure accuracy, clarity, consistency, and a professional standard of presentation.
    • Develop and implement effective systems and processes, maintaining well organised filing and documentation structures to support efficient working.
    • Assist in the accurate and timely provision of information in support of legal cases and subject access requests.
  • Executive and Office Administration
    • Provide dedicated support for designated Executive and CEO groups, including strategic initiatives and key projects.
    • Planning and organising meeting agendas and events.
    • Supporting the Executive Team with diary management, checking availability and co-ordinating meeting invitations.
    • Other general administrative duties such as, dealing with correspondence, filing, booking resources and refreshments and training events and conferences.
  • Performance Monitoring
    • Running system reports and gathering information from a variety of sources and entering data into KPI reports.
    • Monitoring performance against KPIs, highlighting and escalating where complaints targets are not being met.
    • Compile information and draft reports in relation to customer complaints, feedback, survey results, including trend analysis and lessons learned.
    • Co-ordinating compilation of performance reports for the Executive Team and the Board.
    • Co-ordinating the setting of annual performance targets including reports to the Executive Team and Board.
  • General Duties
