Description

We are seeking a proactive, organised and learner-focused Additional Learning Needs (ALN) Administrator to join our Learner Experience Directorate at Coleg Sir Gar and Coleg Ceredigion. This role plays a vital part in ensuring learners with Additional Learning Needs receive effective, timely and compliant support. You will have primary responsibility for delivering high-quality administrative support in relation to statutory ALN duties, including the management of Individual Development Plans (IDPs), Examination Access Arrangements and the accurate maintenance of learner records across college systems.

The role sits within the Learner Experience team, which supports safeguarding, wellbeing, mentoring, equality and diversity, student engagement and retention. This is an excellent opportunity for someone with experience supporting individuals with Additional Learning Needs who is highly organised, confident in working with data and systems, and committed to providing outstanding customer service within an educational setting.

Key Responsibilities
  • To undertake the administrative processes and statutory procedures relating to ALN and the IDP process, working in conjunction with the ALNCo, Learning Support Campus Coordinators, Learning Support Lecturers and the ALN Transition officers, as directed.
  • Maintain accurate and up-to-date learner records across all relevant management information systems (e.g. EBS, IDP platform, internal college IT systems and spreadsheets).
  • Produce information/ data as required, e.g. correspondence relating to IDPs, planning and diarising IDP reviews.
  • Communication with internal staffing to collate IDP learner information as part of the review process.
  • Communicate with learners, parents/carers, schools, Local Authorities and external agencies to support effective information sharing as part of the IDP process and ALN priorities.
  • To provide administrative support to the ALNCo, Learning Support Campus Coordinators, Learning Support Lecturers and the ALN Transition officers, as directed. This may include filing, photocopying, completing forms, responding to routine correspondence.
  • Liaise with Registry and the Exams Department to support applications for exam access arrangements, with appropriate guidance.
  • To ensure that excellent customer service is provided in all dealings with learners, parents/carers, internal staff and external stakeholders.
  • Maintain high professional standards and comply with policies and procedures regarding the Additional Learning Needs Education Tribunal Act (Wales) 2018, the Equality Act 2010, Safeguarding, Data Protection Act (1998) and GDPR regulations.
  • Attend, contribute and participate in Learner Experience team meetings as and when necessary.
  • Carry out any other duties as directed by the Principal/Chief Executive commensurate with the grade of the post at the initial place of work or other locations within the College.
Skills, Knowledge and Expertise Essential Criteria:
  • GCSE English and Mathematics at minimum Grade C or O Level equivalent
  • Relevant experience of working with individuals with Additional Learning Needs and Autism
  • Good communication, with diplomacy and tact
  • Good interpersonal and organisational skills
  • Ability to work harmoniously with colleagues
  • Ability to work under pressure and to tight deadlines
  • Good presentational skills
  • Competence in the use of a range of IT systems and packages
Desirable Criteria:
  • Relevant Degree
  • Experience or knowledge of Exam Access Arrangements
Welsh Language Requirements:
  • Welsh Oracy (Listening/Speaking) - Level 2 Essential
  • Welsh Literacy (Writing/Reading) - Level 2 Essential
