The post holder will provide typing and clerical support for the department teams, working as part of a team managed by the Operational Support Manager and responsible for their own workload under his or her supervision.
Responsibilities- Support the medical secretary/secretary in undertaking clerical duties and routine typing as required.
- Maintain WPAS by daily updates.
- Type all correspondence and clinic letters from multidisciplinary teams, ensuring timely distribution.
- Verify patient demographics; if a patient has not been seen previously, enter details into WPAS and process the patient file.
- Ensure work accuracy, updating the Operational Support Manager on any problems that arise.
- Process letters and carry out typing duties as directed by the Operational Support Manager.
- Adhere to patient confidentiality and the Caldicott Standards at all times.
- Follow guidelines, policies and procedures of the Cwm Taf Morgannwg University Health Board.
- Communicate effectively (verbal, non‑verbal, and organisational) to manage unexpected situations.
- Preferably have prior relevant office experience in a hospital or clinical environment.
- Organise own daily workload, preparation of patient files, and accurate data input onto WPAS.
- File investigation results in the appropriate medical file, making them available for review by the team.
- Provide non‑clinical advice directly to patients and carers during telephone conversations.
- Maintain medical/clinical records in accordance with Cwm Taf Morgannwg University Health Board guidelines.
- Ensure correct patient demographics for data entry onto WPAS and personally generated information.
- Excellent communication, verbal, non‑verbal and organisational skills.
- Previous experience in an office setting, preferably in a hospital or clinical environment.
- Welsh speaking & listening skills at Level 3 (equivalent to CEFR B2) or above is desirable.
