Overview
The Program Assistant SR supports the Utah Assistive Technology Program by coordinating statewide loan and small-grant programs that help Utahns with disabilities obtain assistive technology devices and equipment. This role provides information and referral for disability-related resources, supports UATP operations, and collaborates closely with the UATP Director, staff, partner agencies, and community stakeholders.
Responsibilities- Independently manage day-to-day operations of the Utah Assistive Technology Foundation.
- Explain financing options and respond to inquiries from consumers, vendors, bank personnel, and board members.
- Distribute, track, and process loan and grant applications from start to finish, including submission to lending partners and coordinate with the UATF Board.
- Prepare checks for approved grants and ensure accurate distribution to the appropriate agency or individual.
- Develop a thorough understanding of bank policies, partner lender procedures, and UATF guidelines.
- Coordinate board-related activities, including managing complex or challenging applications.
- Monitor checking, money market, and investment accounts; work with bank and investment advisors to maintain accuracy and maximize balances.
- Identify and resolve issues involving applicants, vendors, and lending entities.
- Prepare, lead, and facilitate confidential quarterly UATF Board meetings, including strategic planning discussions.
- Organize meetings (Virtual, USU Logan campus, or off-site), arrange catering, and ensure accurate invoicing and timely payments.
- Coordinate annual audit and tax preparation with CPA firms, bank personnel, and investment staff.
- Serve as liaison among UATF Board, Zions Bank, Utah Microloan Fund (UMLF), statewide independent living centers, vendors, and consumers.
- Provide information and referral for disability-related resources statewide.
- Ensure accurate and timely entry and maintenance of program outcome data in required reporting systems, including NATADS, AT4
ALL, and NIRS.
- Assist with the daily operations of UATP under the direction of the UATP Director.
- Prioritize and manage multiple tasks to ensure a smooth project workflow.
- Serve as a primary point of contact for inquiries from consumers, families, staff, partners, and community agencies.
- Provide information and referral to Utahns with disabilities and their families.
- Coordinate with partner agencies, including IDRPP projects, statewide independent living centers, and the Utah Center for Assistive Technology (UCAT), to ensure timely submission of device demonstration forms, invoices, and data entry for demonstrations and trainings.
- Support year-end federal reporting by compiling data and documentation.
- Prepare and process invoices for rental properties and payments to external agencies; submit receipts and purchasing documents to the business office.
- Support preparation and facilitation of staff meetings; take and distribute meeting minutes.
- Assist in developing, analyzing, and updating policies and procedures for UATF and UATP.
- Coordinate updates to policy documents, applications, and website content.
- Collaborate with marketing and PR teams to promote UATP services and events.
- Provide confidential technical assistance to consumers.
- Build and maintain partnerships with state agencies and disability-serving organizations.
- Support staff travel arrangements, including registration, hotel and flight bookings, rental cars, and travel authorization/expense reports.
- Process fees for service and ensure accurate deposits to appreciate accounts.
- Assist staff with data collection, ensuring entries are complete and up to date.
- Draft, edit, and prepare written materials and communications.
- Make independent decisions within the scope of assigned responsibilities and the director’s guidance.
- Order supplies, business cards, materials, and brochures; ensure receipt processing and filing are accurate and timely.
- Manage mail collection and distribution.
- Six years of experience; or an associate degree/technical training plus four years of experience; or a bachelor’s degree plus two years of experience is required.
