Job Title: Receptionist - Medical

Department: Administration

Reports To: Health Center Manager / Regional Operations Manager

FLSA Status: Non‑Exempt

Wage Range: $21.00 – $23.15 per hour

Summary

Under the direct supervision of the Health Center Manager and the general supervision of the Regional Operations Manager, the Receptionist follows the protocols of the Community Health Centers of the Central Coast, Inc. (CHCCC) by greeting patients professionally and courteously, managing provider schedules to ensure access and efficiency, assisting patients through registration, and receiving payments for rendered services. The employee is expected to maintain a professional, punctual, cooperative, motivated and organized demeanor at all times.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Perform duties per Standard Work and Skills Competency Check‑Off list.
  • Actively participate in assigned Patient Care Team duties and activities.
  • Provide quality customer service using AIDET Standards.
  • Answer telephone promptly with a courteous and professional manner.
  • Handle high volume of patients and internal/external customers, managing frequent changes, delays or unexpected events.
  • Check patients in‑and‑out through the practice management system and verify information.
  • Perform cashiering duties and collect co‑payments, payments, and outstanding balances.
  • Review and manage patient schedules to anticipate missed opportunities, scheduling errors, registration form updates, insurance eligibility, and co‑payments.
  • Schedule patients per protocol and refer triage calls to nursing staff.
  • Confirm appointments for primary care and ancillary services within 24 hours of appointment.
  • Assist with pre‑visit planning.
  • Assist patients with the completion of appropriate forms and review for accuracy and completeness.
  • Accurately enter and update demographic and payer data in the practice management system.
  • Verify coverage and payer eligibility, including programs, private insurances, Medi‑Cal, and Sliding Fee.
  • Inform patients about all available services and programs.
  • Observe patients in distress and promptly report to nursing staff.
  • Demonstrate and maintain knowledge of the practice management system, payers, and Standard Work.
  • Maintain inventory of paperwork and ensure most up‑to‑date forms are being used.
  • Issue visitor passes when required.
  • Perform a variety of clerical duties.
  • Demonstrate adherence to and observe all safety policies and procedures, inclusive of infection control rules and regulations.
  • Demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served (infants, pediatrics, adolescents, adults or geriatrics).
  • Demonstrate knowledge of domestic violence, child and dependent abuse protocols.
  • Demonstrate cultural sensitivity and competence with patients.
  • Maintain and adhere to HIPAA, employee confidentiality, and privileged communications (patient, employee, and corporation).

Education and Experience
  • High school diploma or GED equivalent required.
  • Minimum one year of customer service position preferably in a medical setting.
  • Must have excellent verbal and written communication skills.
  • Knowledge of medical terminology is desirable.
Language Skills
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of patients or employees of the organization.
  • Bilingual – ability to read, speak and write in English and another language is desirable.
Mathematical Skills
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratios and percent, and to draw and interpret bar graphs.
