The Advancement department plays a pivotal role in building and sustaining meaningful relationships with alumni and other stakeholders around the world, fostering engagement, philanthropy, advocacy, and leadership in support of Ivey’s mission. Within Advancement, the Campaign team plays a central role in planning, coordinating, and advancing the School’s fundraising priorities. As Ivey embarks on the largest campaign in its history, the Campaign team will help drive a significant period of growth, momentum, and opportunity for the School.
Position Overview:
The Campaign Associate provides comprehensive coordination and administrative support to the Director, Campaign Management, contributing to the effective planning and execution of campaign operations, governance, volunteer engagement, and related Advancement activities. The role coordinates meetings, reporting, documentation, special projects, and events; supports communication and follow-up with internal and external stakeholders; and helps ensure campaign priorities and processes are advanced in a timely, accurate, and professional manner.
Working across multiple teams and stakeholder groups, the position requires strong organizational skills, discretion, judgment, and the ability to manage competing priorities in a complex environment.
Responsibilities:
- Campaign Operations and Documentation
- Coordinates the development, maintenance, and distribution of key campaign reports, including financial, donor, and progress reports, to support tracking, planning, and decision-making.
- Works collaboratively with Advancement and other School teams to gather, verify, and update campaign data and narrative content, ensuring information is accurate, current, and delivered according to established timelines.
- Coordinates workflow processes and tracks timelines for campaign priorities, deliverables, and related operational activities, ensuring follow-up items are monitored and advanced.
- Prepares, formats, and quality-checks campaign-related materials, including presentations, briefing notes, agendas, reports, and correspondence, to ensure consistency, accuracy, and professionalism.
- Coordinates the review, approval, and distribution of campaign communications and materials developed by the Director, Campaign Management and Advancement colleagues.
- Maintains campaign files, records, and documentation systems to ensure information is organized, accessible, up to date, and aligned with Advancement and Western University standards
- Internal & External Relations
- Coordinates Campaign Cabinet, volunteer committees, and other campaign-related meetings, managing logistics such as scheduling, room bookings, virtual meeting setup, materials preparation and distribution, minute-taking, and follow-up tracking.
