Position: Administrative Personal Assistant (2-Month Fixed Term Contract)

We are looking for a skilled and capable Personal Assistant to join our admin team and be responsible for supporting some of our Senior Leadership. Currently, this includes our EMEA Chief Operations Officer, Global Chief Design Officer and Partner Leads.

This role would suit a team player who is looking to learn more about both creative and media and someone wanting to further develop their skills in working with many disciplines in a fully integrated agency. As business demands change, sometimes we need to be flexible with resource so the people that you’d be looking after could change.

This is a fast paced, innovative role and requires someone who can think on their feet and relishes in an ever-evolving environment.

Key requirements and responsibilities
  • Smooth and efficient management of complex diaries. Proactive and able to forward plan, flagging clashes well ahead of schedule.
  • Acting as the ‘face’ and first point of contact; on behalf of the above, fielding and responding to queries, dealing with day-to-day requests. Liaise and build high standard relationships with colleagues, clients and their PA’s.
  • Organise and manage complex European trips and agendas
  • Responding to email requests promptly and with a fast response time to other PA’s and managing diary invites.
  • Regular Travel organisation for senior teams.
  • Help to organise and pull together full day internal leadership meetings – in UK and abroad.
  • Booking meetings rooms/catering, organising regular calls/videoconferencing and ensuring technology is tested and works. Sometimes this will involve large events/dinners external to our offices spaces.
  • Submitting and organisation of timesheets, expenses and holiday requests.
  • Supporting rest of admin team with culture/agency socials/training/events.
  • Dealing with ad hoc requests efficiently on a daily basis and providing cover for others in the PA team during absence.
Role-specific professional and technical skills
  • Experience, strong attention to detail and ability to use initiative.
  • Comfortable taking direction, but prepared to manage upwards as well as downwards, providing suggestions and solutions to problems.
  • Dynamic, creative, flexible – able to work to tight deadlines.
  • Ability to respond and adapt to a constant change in priorities.
  • Articulate, accurate, able to produce written documents with appropriate language, tone and to a high standard.
  • Highly computer literate – Excel, Word, PowerPoint, google slides are an advantage, as well as understanding of Teams/Zoom set ups.
  • Honesty, integrity, trust and discretion.
  • Calm, assertive, but fun with a good sense of humour, lots of patience and energy.
  • Ideally previous experience of working in an agency/creative environment, PA experience essential.
