We are a London-based, Series A artificial intelligence startup with $25m in funding from venture capital funds across San Francisco and Palo Alto. We have raised $25m to date, partner with some of the world’s largest and most complex enterprises (Fortune 500 and equivalent), and are currently growing our team from approximately 30 to 60 employees.
We are seeking an exceptional Executive Assistant to the Founder to act as a true force multiplier at the centre of the business. This is a senior, high-trust role for someone who thrives operating at executive level - bringing structure, judgement, and calm to complexity while enabling the CEO to focus on strategy, growth, and relationships.
Location: London
Working pattern: Hybrid (3 days per week in a central London office)
Travel coordination: London, New York, San Francisco, Singapore, Washington DC, Europe, and beyond
The Role
Your primary mission is to dramatically increase the CEO’s effectiveness by owning complexity across time, information, logistics, and execution.
You will work hand in hand with the CEO day to day, acting as an extension of them. This role goes well beyond traditional EA responsibilities and will suit someone who enjoys responsibility, trust, and proximity to decision-making - while remaining happy to handle a mix of professional and occasional personal logistics - with the aim of maximising effectiveness, focus, and impact.
The CEO is based between London and New York and has a heavy travel schedule. For the right candidate, there is flexibility around in-office vs. remote and an opportunity for travel.
Key Responsibilities
- End-to-end ownership of the CEO’s complex calendar across multiple time zones
- Proactively structuring and prioritising time around strategic priorities
- Managing communications, follow-ups, and executive coordination with discretion and judgement
- Anticipating issues and resolving them before they escalate
Travel & Global Coordination
- Planning and managing frequent international travel end-to-end
- Coordinating high-stakes meetings across global hubs
- Providing calm, practical support during travel disruptions when needed
C-Suite & External Engagement
- Acting as a primary point of contact with C-suite executives at large global organisations
- Liaising confidently with customers, investors, partners, and senior candidates
- Supporting senior-level meetings, events, and relationship-building moments
Business & Leadership Enablement
- Bringing structure to fast-moving, ambiguous environments
- Coordinating weekly VP updates and leadership reporting for the CEO
- Supporting preparation of board materials, investor updates, and executive presentations
- Preparing materials for customer meetings, all-hands, and internal communications
- Assisting with planning offsites, leadership 1:1s, and executive cadences
Execution & Growth Support
- Helping consolidate strategy outputs into clear, usable materials
- Supporting company-wide moments such as all-hands, offsites, and key announcements
- Acting as connective tissue across leadership, operations, and growth initiatives
Personal Logistics (as needed)
- Occasional support with personal logistics that remove friction from the CEO’s schedule and attention (e.g. reservations, time-sensitive personal arrangements)
What We’re Looking For
This is a role for someone who has already operated at a very high level.
You will likely have:
- Significant experience supporting a CEO or senior executive, ideally in a public company, scale-up, or high-growth environment
- Confidence communicating with C-suite executives and board-level stakeholders
- A strong track record of handling confidential information with discretion
- Experience preparing board, investor, and executive-level materials
- Exceptional organisational skills and attention to detail
- Strong written and verbal communication skills
You are someone who:
- Brings order and clarity to chaos
- Exercises excellent judgement and emotional intelligence
- Is comfortable operating with autonomy and trust
- Is happy to flex between senior-level execution and hands-on support
- Measures success by impact, not job boundaries
- This is not a 24/7 role, but occasional out-of-hours availability is required during critical travel or executive moments
- You will be trusted with significant responsibility, visibility, and autonomy
- Success is measured by leverage created, not hours worked
Compensation
- Performance-based incentive of up to £20,000
