* Cross Functional Collaboration & Communication
* Act as a communication hub between executives, central teams and business partners to drive efficiency.
* Use executive maturity, discretion, and business insight to prepare and direct communications.
* Communicate effectively with external partners and third parties.
* Represent and uphold the manager’s and team’s brand in alignment with Microsoft’s core values.
Travel Management
* Coordinate domestic and international travel, including accommodation, transport, security, and visas and managers and team.
* Prepare detailed itineraries and act as a point of support across time zones during travel.
* Communicate proactively with stakeholders to ensure productive trips and compliance with travel documentation.
* May accompany leaders to provide onsite support during events or meetups.
Resource & Financial Management
* Own expense management including purchase orders, receipts, statements, tracking, and compliance.
* Resolve issues related to expenses, purchase orders, and financial discrepancies.
Calendar Management & Meeting Logistics
* Provide strategic calendar and timeplanning support for managers and teams.
* Make prioritisation decisions, manage delegates, and communicate with key stakeholders.
* Manage complex schedules, ensure followups, and remain calm under pressure.
Event Coordination
* Work with the wider EA community to plan and execute events.
* Demonstrate executive presence and develop reusable resources for event efficiency.
Project Ownership
* Manage multiple complex projects endtoend while maintaining operational excellence.
* Drive stakeholder accountability, streamline processes, and implement best practices.
* Lead efforts to define and measure project success.
* Team Management & Onboarding Support
* Partner with the Head of Operations on onboarding, equipment, workspace setup, and access provisioning.
* Provide a seamless executive onboarding experience and act as a key contact for new hires, vendors, and interns.
Required Qualifications
* 7+ years’ experience in administrative or executive support roles with emphasis on scheduling, travel, and operational support at senior leadership level.
* Passion for delivering an exceptional office experience.
* Experience managing a team with dual accountability.
* Proactive, collaborative, and fully accountable mindset.
* Comfortable working onsite 4 days per week
