We are seeking a highly organised, detail-oriented, and proactive Office Manager with strong communications, to oversee the daily operations of our London office, and coordinate with our Dubai and New York offices.
This role will ensure the smooth running of our workplace in maintaining a productive, organised, and pleasant work environment, and is a key member of our London team.
Key responsibilities Office Operations & Administration- Oversee day-to-day office activities and ensure a clean, organized, and efficient workspace.
- Manage office supplies inventory.
- Coordinate maintenance and repair of office equipment and facilities.
- Support senior management with scheduling, correspondence, and meeting coordination.
- Prepare reports, presentations, and internal communications.
- Maintain confidential files, our central filing, and employee records as required.
- Assist with budgeting and expense tracking.
- Process invoices, purchase orders, and petty cash.
- Liaise with accounting or finance departments to ensure accurate reporting.
- Help onboard new employees, including workstation setup and orientation.
- Maintain HR recruitment documentation and ensure compliance with company policies.
- Coordinate employee events and engagement initiatives.
- Communicate with vendors and service providers.
- Negotiate contracts and service agreements when needed.
- Manage mail, shipping, and courier services.
- Ensure compliance with health, safety, and legal regulations.
- Experience as an Office Manager, Administrative Manager, or similar role.
- Excellent organisational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in Google Work Space office management tools.
- Ability to handle confidential information with discretion.
- High level of attention to detail and problem-solving skills.
- Flexibility and adaptability in a fast-paced environment.
- Higher educational qualifications, or related experience
- Experience in accounting or HR support functions.
- Excellent verbal and written communications using diplomacy where required.
- Interior design flair to maintain and enhance a corporate, but productive working environment.
- Direct experience of budgeting and working with suppliers.
- Experience of Gmail, Xero accounting.
