Executive Assistant to CEO (Immediate Start) |Series B Consumer AI Scale-Up | Soho, Hybrid The Client

Harmonic is partnering with a VC-backed

Consumer AI scale-up that has emerged as one of Europe’s most compelling growth stories.

Led by an exceptional founder with a reputation across both the European and US tech ecosystems, the business recently secured a significant Series B investment round and is now accelerating its expansion into the United States, where it is already seeing strong commercial traction. The company continues to deliver consistent double-digit year-on-year growth, combining cutting‑edge AI capability with real consumer adoption.

This is a rare opportunity to work directly alongside a founder operating at the highest levels of the global technology landscape.

The Role

This is not a traditional diary‑management EA position.

You will operate as a strategic partner to the CEO, ensuring their time, attention, and energy are deployed against the highest‑impact priorities. The founder is externally visible, and deeply involved across investors, product, hiring, and international expansion.

Your role will sit at the centre of this activity, bringing structure, clarity, and momentum to an environment that moves quickly and demands precision.

The position is a highly flexible role based in Soho with some occasional international travel required.

Key Responsibilities
  • Orchestrate an evolving, high‑volume schedule spanning investors, board members, media, and other key stakeholders.
  • Apply judgement to prioritise engagements based on commercial and strategic value.
  • Anticipate conflicts and resolve challenges before they escalated.
  • Track key initiatives across fundraising, US expansion, partnerships and senior hiring.
  • Prepare briefing materials and synthesise information to ensure the CEO is fully prepared for critical meetings.
  • Maintain visibility over deliverables and follow‑ups, ensuring momentum is sustained across multiple work streams.
  • Serve as a trusted first point of contact for high‑profile external stakeholders.
  • Coordinate communication with investors, venture partners, founders and senior operators across Europe and the US.
  • Design and manage complex travel schedules across time zones, optimising for efficiency and productivity.
  • Handle international logistics seamlessly, adapting quickly to changes and unforeseen developments.
  • Introduce systems and workflow improvements that enhance executive effectiveness.
  • Build scalable processes around executive communications and task management.
  • Reduce friction and administrative load across the CEO’s day‑to‑day environment.
  • Handle sensitive information with absolute confidentiality.
  • Represent the CEO and the company with maturity, composure and professionalism at all times.
Required Experience
  • 5+ years’ experience supporting a Founder, CEO or C‑suite executive in a high‑growth, fast‑paced environment.
  • Experience with in venture‑backed tech, start‑ups or scaling businesses.
  • Commercially aware, able to understand business context rather than simply manage logistics.
  • Highly organised, calm under pressure and able to operate autonomously.
  • Strong written and verbal communication skills.
Location

Soho, flexible working style (typically 2 days in‑office)
