Executive Assistant to CEO (Charity sector)
Location:
North London (On-site, with potential for flexibility for the ideal candidate)
Salary: £55,000
About the RoleWe are seeking a capable and experienced Executive Assistant to provide high-level support to the CEO and Senior Leadership Team of a charity, while also taking ownership of key administrative systems and HR processes at head office.
This is a senior, hands‑on role combining traditional C‑suite executive support with responsibility for governance coordination, onboarding administration and process improvement. The successful candidate will play a vital role in ensuring operational efficiency, compliance and consistency across the organisation, enabling leadership to focus on strategic priorities.
Key Responsibilities 1. Executive Support- Provide comprehensive day‑to‑day EA support to the CEO, including complex diary and travel management
- Prepare briefing packs, correspondence and expense documentation
- Provide executive support across the Senior Leadership Team when required
- Coordinate quarterly Trustee Board and committee meetings (venue/virtual setup, agendas, circulation of papers, collation of reports and actions)
- Lead digital meeting support (MS Teams/Zoom/Government platforms)
- Oversee minute‑taking, edit and finalise minutes, and ensure secure storage and timely distribution
- Track actions and ensure appropriate follow‑up
- Manage new‑starter administration, including data entry into HR systems and creation of personnel files
- Oversee the DBS checking process, liaising with candidates and third‑party providers
- Coordinate induction schedules and mandatory training
- Track training completion within the HR system
- Ensure HR administration complies with GDPR and confidentiality requirements
- Map, document and maintain core administrative and HR processes
- Create and maintain templates, checklists and registers to ensure audit readiness
- Identify and implement improvements to increase efficiency and compliance
- Maintain accurate, secure record‑keeping in line with data protection policies
- Act as primary contact for head office administrative matters
- Coordinate meeting room bookings, office suppliers and IT liaison for senior team equipment
- Organise office‑based events and training sessions end‑to‑end
- Build strong working relationships with senior leadership, HR, governance/Board members and external providers
- Handle sensitive information with discretion and professionalism
- Proven experience as an Executive Assistant supporting C‑suite or senior leaders
- Strong diary and travel management experience, managing competing priorities
- Experience coordinating Board or committee meetings and overseeing minute‑taking
- Experience handling confidential personnel data
- Knowledge of DBS processes (UK) and HR compliance/GDPR principles
- Excellent written and verbal communication skills
- High proficiency in Microsoft 365 (Outlook, Word, Excel, Teams)
- Highly organised, proactive and confident implementing systems and process improvements
