Scope of Duties
The Student Affairs Administrator will support the Student Affairs team in delivering all aspects of student support at the IES Abroad London Centre. They will assist in addressing student wellness issues, responding to enquiries, and directly support the SACPC in maintaining and developing the administrative and recording structures of the Student Affairs Team. The Administrator will report to the SACPC on any matters that could jeopardise the success of any student participating in the program due to wellbeing issues, and work closely with the SACPC and the Student Affairs team to ensure the delivery of comprehensive student support, covering aspects of wellbeing, housing and communications.
The Administrator will take both proactive and reactive measures in performing their duties.
Additionally, the Administrator will work closely with the Student Affairs and Customised Programmes Coordinator (Events and Comms) on projects that ensure the administrative health and robust response of the Student Affairs team, working on policies and procedures, and preparing for the transition to a new case management system.
Whilst this is not predominantly a student facing role, the Student Affairs Administrator will be engaging, socially aware, and able to respond promptly and decisively to any issues that arise, addressing concerns with sensitivity and pragmatism. They will be organised with an eye for detail and experience in using a range of databases, software platforms and particularly Microsoft programmes. Familiarity with Airtable, Adobe, and Canva are an advantage.
PrimaryResponsibilities Relationships
- Support day to day liaison with students and staff at the IES Centre and residences to ensure student wellbeing issues are addressed promptly
- Support day to day liaison with students and staff at all housing locations regarding housing issues (roommate issues/conflicts, room changes, quarantine arrangements, escalated facilities problems, bed bugs etc.)
- Foster relationships with residence hall specialised teams
- Foster student engagement and feedback
- Engage with RSLAs (Residence and Student Life Assistants) in response to student issues, around administrative tasks, and to ensure the gathering and analysis of student feedback
- Maintain relationships, in coordination with the Head of Student Affairs, with insurers and healthcare providers
- Facilitate a calendar of centre and residence-based activities
- Work closely with the Student Affairs and Customised Programmes teams, primarily the Student Success Manager, to ensure that non-academic student information is kept current
- Maintain student record systems
- Together with other Student Affairs staff, help arrange doctor’s appointments for students and coordinate student welfare check-ins
- Support health-care insurance claims
- Maintain student contact records
- Respond to complaints raised by students and housing providers
- Support the planning and delivery of student field trips, student centre events, and residence events
- Research and make bookings in relation to all student events and activities
- Maintain the First Aid kits and information packs for field trips
- Support the facilitation of Student Representative projects
- Prepare student facing information materials including resources for the IES app, and centre notice boards and information screens
- Work with the Student Affairs team to respond to queries, concerns, and complaint
- Work with the Student Affairs team to identify new activities and field trip locations, drawing on student feedback and engagement
- Work with the Student Affairs team to identify gaps in effective student communications and resources, ways to increase feedback response rates, and identify new ways to engage with students
- Work with the Student Affairs team to identify gaps in student support administration and ways in which to address them
- Support the SACPCs in the delivery of projects around student feedback, moving to new case management platform, developing a housing issues database, and updating Student Affairs policies and protocols
