A leading global investment firm is seeking an experienced Executive Assistant to provide high level support to senior leaders within its Capital Markets & Deal Team. This is a London based role within a well established team of Executive Assistants, offering the opportunity to work in a fast paced, international and highly professional environment.
The position requires someone confident in managing senior stakeholders, coordinating complex schedules and supporting demanding workloads with accuracy, discretion and sound judgement. You will work closely with internal colleagues across Europe and external partners, acting as a trusted point of contact and ensuring seamless day to day operations.
Key Responsibilities- Acting as a primary point of contact for senior leadership and building strong internal and external relationships
- Managing complex calendars, handling availability requests and applying effective gatekeeping
- Supporting mailbox management by prioritising communications and responding where appropriate
- Planning and coordinating global investor roadshows including logistics, briefings and travel
- Organising international travel arrangements including flights, accommodation, visas and detailed itineraries
- Ensuring timely processing of expenses in line with internal reporting requirements
- Preparing and distributing briefing notes, agendas, presentations and follow up materials
- Producing and formatting PowerPoint decks when required
- Collaborating with communications colleagues on relevant work streams
- Managing conference registrations and associated travel
- Coordinating meeting rooms, onsite logistics, AV and visitor arrangements
- Overseeing production and distribution of printed materials
- Working collaboratively with the wider EA team on recurring internal meetings
- Assisting with internal projects, social events and general administrative tasks
- Providing holiday and absence cover across the EA team
You bring senior level EA experience gained in a professional, financial services environment and excel in handling sensitive and confidential information. You have advanced Microsoft Office skills, exceptional communication ability and a polished, confident manner. You are proactive, adaptable and able to anticipate needs, solve problems and manage shifting priorities effectively. Strong organisation, teamwork and attention to detail are essential, along with flexibility around working hours when required.
