As our Data and Administration Coordinator, you’ll be part of the Legal working closely with brilliant people across the business and reporting into Legal Operations Manager. You’ll be right at the heart of fast‑moving projects that shape how we show up for our consumers - today and tomorrow.

CORE

ACCOUNTABILITIES

As our Data and Administration Coordinator, you will be responsible for:

  • Legal Systems & Compliance Support:
    Steward CLM, HighQ, and iambic systems; conduct audits, reporting, and user follow‑ups; support compliance processes including World Check screenings, DSARs, and training analysis; manage supplier onboarding, subscriptions, document execution, shared inboxes/trackers, and intranet updates.
  • Operational & Administrative Management:
    Handle purchase‑to‑pay processes for Legal, IP, and Archive teams (POs, invoicing, receipting, budget tracking); coordinate with Finance and Legal Counsel; process brand‑protection expenses and test purchases; support routine record management, data input, and reporting needs.
  • IP & Licensor Support:
    Manage Licensor Proof of Use documentation; provide IP team support including bundle creation, logging/storing infringing items, coordinating travel and expenses, executing documentation, and assisting with formatting legal presentations and documents.
KEY SKILLS & CAPABILITIES

Put simply, the key things we’re looking for are:

  • Systems, Data & Compliance:
    Skilled with iambic, CLM platforms, HighQ, collaboration tools, and intermediate Excel; strong metadata discipline; familiarity with DSAR workflows, screening checks, and GDPR‑aligned data handling.
  • Financial & Process Management:
    Solid understanding of POs, invoicing, receipting cycles, budget tracking, variance identification, and effective supplier‑query resolution.
  • Organisation & Stakeholder Delivery:
    Excellent attention to detail, prioritisation, and inbox/tracker management; clear, professional communication with Finance, Company Secretariat, external counsel, suppliers, and internal teams.
