Position: Part Time Workforce Coordinator (Fixed Term Contract)
Location: Greater London

About the role

The purpose of this role is to provide comprehensive administrative support to the workforce team in managing the end-to-end processes for all workforce types to ensure the successful delivery of our events portfolio. This includes casual staff, volunteers, and internal staff, covering processes that enable scheduling, rostering, training invitations, contracts, and payments.

Working Pattern
  • This is a fixed term contract until the end of December 2026
Key Responsibilities
  • Coordinate accommodation bookings for internal LMG staff and external personnel across scheduled events, including requirements gathering, logistics, and stakeholder communication.
  • Generate and analyse workforce reports via our People and Workforce systems, to support planning and accommodation forecasting.
  • Liaise with the external accommodation provider to confirm bookings, resolve issues, and maintain accurate records.
  • Process change control requests related to event working, accommodation and workforce logistics, ensuring all assigned changes are actioned efficiently and documented appropriately.
  • Maintain and update data within our workforce management platform, ensuring information is current, complete, and aligned with event timelines.
  • Help coordinate event-day logistics including collating uniform, catering, and transport requirements for all our customer groups.
  • Support volunteer coordination and workforce scheduling, including communications, training invitations, and roster building across all our customer groups.
  • Assist with contract preparation, basic payroll data entry, and expense processing, ensuring accurate documentation and system updates.
  • Contribute to onboarding and offboarding processes, including administrative tasks and system maintenance.
  • Provide day-to-day support for registration tasks, updating systems, inbox management and handling routine workforce-related queries.
  • Provide general support across the wider workforce team to help ensure smooth operations and delivery of the workforce function.
  • Liaise and collaborate across the People and Culture team and other teams (e.g. Event Experience) across the company to deliver a seamless and efficient service.
Required Experience
