Role Overview :As an Executive Assistant on a 12-month fixed-term maternity cover, you will support the CEO and COO to ensure their daily schedules and priorities run smoothly. Your responsibilities include comprehensive diary management, coordinating meetings, booking travel, and managing expenses. You will liaise with internal staff and external clients, ensuring efficient scheduling and that executives are fully prepared for all engagements. Additionally, you will manage travel arrangements, process expenses, and support large partner meetings, working closely with another Executive Assistant to deliver seamless, high-quality support.
This London-based role offers the opportunity to make a significant impact through proactive organisation and excellent communication skills.
- Provide full diary and inbox management for the CEO and COO, ensuring schedules are prioritised, efficient, and conflict-free.
- Act as the first point of contact for executives, managing queries from internal stakeholders and external clients.
- Proactively complete tasks and follow instructions from executives in a timely and accurate manner.
- Coordinate and schedule internal and external meetings, liaising with key stakeholders as needed.
- Ensure executives are well‑prepared for meetings by providing relevant materials, agendas, and briefings.
- Manage expenses in line with company processes and arrange all travel, including trains, flights, and accommodation.
- Support the organisation and delivery of large partner meetings and events.
- Work collaboratively with the wider team, including other EAs, to provide seamless support.
- Demonstrates a proactive, “can‑do” attitude with a willingness to take initiative.
- Possesses strong organisational skills and excellent attention to detail.
- Able to work independently and manage multiple priorities effectively.
- Confident in using Microsoft Office tools, including Outlook, Teams, PowerPoint, and Excel.
- Excellent communication skills, with the ability to engage confidently with senior stakeholders and external clients.
- Strong time management skills, consistently delivering tasks in a timely manner.
