Job Summary
Fixed‑Term Contract 6 Months (Maternity Cover) – Full‑time, 40 hours per week. We are seeking an experienced and enthusiastic patient assistant to join our friendly and supportive team. The successful candidate will have excellent communication, customer service, and organisational skills, with the ability to work effectively in a busy healthcare environment. Previous experience in a GP practice or healthcare setting is desirable.
Experience using EMIS Web would be advantageous; however, full training will be provided for the right candidate.

As a key member of our team, you will provide a professional and welcoming front‑line service to patients, visitors, and colleagues, while supporting the smooth day‑to‑day running of the practice. The role involves a wide range of reception and administrative responsibilities, including welcoming and directing patients, managing appointment bookings, registering new patients, processing clinical and administrative information, and responding to patient enquiries both in person and over the telephone.
You will act as a central point of contact for patients and healthcare professionals, ensuring that information, messages, and requests are communicated accurately and efficiently to the appropriate members of the multidisciplinary team.
- Maintain and monitor the practice appointment system.
- Process personal, telephone, and e‑requests for appointments.
- Answer incoming phone calls, transferring or handling inquiries appropriately.
- Use judgment and communication skills to facilitate urgent consultations for walk‑in patients.
- Action all incoming faxes and signpost patients to the correct service.
- Process incoming and outgoing mail.
- Initiate and respond to requests from patients, team members, and external agencies.
- Process referrals to external agencies such as secondary care using the electronic referral system (ERS).
- Process calling and DNA letters in accordance with current policy.
- Action GP2GP tasks and read code data on EMIS system.
- Photocopy, file, and store documentation as required.
- Data‑entry of new and temporary registrations and relevant patient information.
- Input data into patient health records and scan documents for attachment.
- Process requests for information (e.g., SAR, insurance/solicitor letters, DVLA forms).
- Manage incoming and outgoing practice e‑mails.
- Handle all administrative queries efficiently.
- Carry out system searches as requested.
- Maintain a clean, tidy, effective working area and reception area.
- Support clinical staff with general tasks as required.
Essential: Experience working in a busy GP setting.
Desirable: Experience of working in primary care; experience using EMIS Web.
