Role Overview

In this multi‑faceted role, you’ll provide vital support to senior leaders, including the Group Director of Corporate Affairs, Group Head of Marketing and Communications, and Group Head of Investor Relations, while also taking ownership of event management responsibilities and working closely with our Group Events Manager. Your contributions will be key to ensuring the seamless operation of daily activities and enhancing the overall efficiency of the department.

The role requires a confident, proactive individual with strong attention to detail.

Responsibilities
  • Diary and Schedule Management – efficiently coordinate and manage the calendars of senior team members, ensuring optimal use of their time; organise meetings, appointments, and conference calls, handling all logistical details with precision; prepare and distribute agendas, minutes, and follow‑up actions to ensure seamless meeting execution.
  • Event Planning and Coordination – support the planning and execution of high‑profile corporate events, including conferences, seminars, and team meetings; own end‑to‑end delivery of an event, including venue sourcing, budgets, supplier management, technical production, and ensuring consistently high standards.
  • Comprehensive Administrative Support – manage incoming and outgoing communications, including emails, phone calls, and correspondence with professionalism and discretion; maintain organised departmental files and records; prepare polished reports, presentations, and documentation that support the team’s strategic objectives.
  • Travel and Logistics Coordination – arrange detailed travel itineraries, including accommodations, transportation, and schedules, ensuring all plans align with company policies and budgets; proactively resolve any travel‑related issues to ensure smooth journeys for team members.
  • Communication and Stakeholder Engagement – serve as a central point of contact for internal and external stakeholders, fostering positive relationships; facilitate clear and efficient communication within the Corporate Affairs team and across other departments.
  • Special Projects and Strategic Support – contribute to the success of special projects and initiatives by providing administrative, research, and analytical support; take ownership of ad‑hoc tasks and assignments, ensuring timely and high‑quality delivery.
Experience & Competences
  • Proven experience in an administrative or team support role, ideally supporting senior leadership.
  • Experience in event planning and coordination, including managing budgets and liaising with vendors.
  • Strong organisational skills with the ability to manage multiple tasks, prioritise effectively, and meet tight deadlines.
  • Excellent written and verbal communication skills, with a professional and approachable demeanour.
  • Experience coordinating complex diaries, meetings, and travel arrangements.
  • Strong attention to detail and accuracy in all tasks, including document preparation and record management.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Demonstrated ability to work both independently and collaboratively in a fast‑paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
Desired
  • Familiarity with corporate environments, particularly in financial services or communications.
  • Knowledge of travel booking systems and tools.
  • Proactive mindset with a track record of identifying and implementing process improvements.
  • Exposure to working with internal and external stakeholders at various levels of an organisation.
