Pathway Coordinator and Medical Secretary

To act as patient pathway coordinator arranging inpatient admissions, interventional procedures, diagnostic tests and outpatient appointments, liaising with other departments and communicating with patients regarding these arrangements. To assist in the organisation of the Consultants' workload including managing waiting lists.

To provide PPC administrative and secretarial support to the department of Neuroradiology, Neuroradiology Consultants and junior doctors.

Main duties of the job

Provide a full PPC and secretarial service to the Consultant Neuroradiologists for both NHS and private patients, including management of Consultant's diary, word processing and audio typing. Provide support for research projects, lecturing, etc. in addition to clinical work. Act with a high degree of autonomy and responsibility in the day-to-day provision of the secretarial support to the department of Neuroradiology.

Prioritise and manage own workload.

Maintain accurate data / records including logging of referrals, communications received and updating patients' details and medical records.

Deal promptly, diplomatically, and confidentially with correspondence, emails and telephone calls from patients, relatives, members of staff, outside hospitals and other organizations.

Liaise with patients and other departments to arrange admissions for interventional Neuroradiology procedures, outpatient clinics for Consultant Neuroradiologists and outpatient appointments for imaging, ensuring all appropriate documentation, including health records and previous imaging, is available.

Offer patients appropriate information regarding the procedures performed in the Neuroradiology department in a reassuring and supportive manner. Ensure patients complete appropriate safety questionnaires / information and bring any potential problems to the attention of the relevant person.

Job responsibilities
  • Contact patients and departments to arrange inpatient admissions for interventional procedures and diagnostic tests as appropriate, including registration and all aspects of referral administration in Cerner Millennium.
  • Arrange outpatient appointments for imaging and clinics, ensuring documentation is available.
  • Manage waiting lists for outpatient clinic and admissions in line with national and trust targets; escalating capacity issues.
  • Ensure follow‑up clinic appointments are scheduled as directed by Consultants.
  • Retrieve information from hospital support systems (iCLIP, Soliton, EPR) to obtain admission, discharge and test results.
  • Validate breach lists and monitor work lists in the radiology system to ensure bookings meet targets.
  • Prepare spreadsheets for ad‑hoc invoicing monthly in line with required time frames.
  • Provide secretarial services for consultants including diary management, word processing, audio typing, support for research and lecturing.
  • Submit invoice requests for private and medico‑legal services promptly. Liaise with the Private Patients Clerk and Cashier.
  • Produce CDs and other imaging formats to PACS, ensuring correct patient record attachment.
  • Maintain supplies of stationery and office equipment; report malfunctions.
  • Train new and existing staff in computer systems and office practices.
  • Take minutes at meetings and transcribe when required; monitor and report office equipment issues.
  • Operate under the legal framework regarding health records, the Freedom of Information Act and other legislation.
  • Organise clinical and non‑clinical meetings, book venues, send invitations and record responses.
  • Assist in recruitment and selection of administrative staff and help prepare audits.
  • Support service delivery by alerting the superintendent radiographer to potential issues.
  • Produce accurate clinical reports for inpatients and outpatients.
  • Implement relevant policies and suggest improvements.
  • Provide cover for the pathway coordinator when absent and work with the superintendent radiographer to ensure resources.
  • Maintain accurate data in both paper and computer records; update patient records in Cerner Millennium, Soliton, PACS.
