Office & Operations Coordinator

  • Location: Chiswick, London
  • Contract Type: Full-time
  • Salary: £30,000 - £33,000

We are seeking an Office & Operations Coordinator to play a vital role in ensuring the efficient and effective running of our office and operational activities. This position is crucial in supporting various functions including donor recruitment, donor request management, logistics, office administration, facilities management, and health and safety. The role is integral to upholding our commitment to high-quality standards in donor registration and office management, contributing significantly to our life-saving mission.

Day-to-day of the role:

  • Manage day-to-day logistics and operational tasks, including the management of medical kits, donor samples, and donor recruitment event boxes.
  • Coordinate the packing, quality checking, postage, and stock replenishment of necessary materials.
  • Handle incoming and outgoing post, manage deliveries, and arrange couriers as needed.
  • Collaborate with internal teams to manage workloads and participate in internal projects.
  • Maintain and report on stock management, including conducting monthly and annual stock counts.
  • Assist in managing a shared email inbox for the operations team and work with external stakeholders like couriers and fulfilment partners.

Required Skills & Qualifications:

  • Proven experience in an administrative, office management, or operations role.
  • Ability to organise multiple tasks, prioritise effectively, and meet deadlines.
  • High level of accuracy and strong attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams), databases, and other office systems.
  • Experience in handling inventory, ordering supplies, and coordinating deliveries.
  • Understanding of office maintenance coordination and ensuring a well-functioning office environment.
  • Ability to work independently with minimal supervision and take initiative.
  • Comfortable working in a fast-paced environment and adjusting to changing priorities.
  • Passion for supporting a life-saving cause and working in a purpose-driven organisation.

Desirable Skills & Experience:

  • Experience in a charity or non-profit organisation.
  • Knowledge of GDPR and data protection best practices.
  • Familiarity with data handling or logistics in medical shipments.
