J C M Property Ltd has an new exciting opportunity for a hands on Facilities Coordinator, if you enjoy all things property from painting, minor repairs, decorating and overseeing renovation projects, this job is for you.
Job Purpose:To ensure the smooth running of the facilities of all sites for the effective operation of the company. The Facilities Coordinator ensure accurate recording of Equipment, furniture, devices, properties at various locations and company sites.
Duties:- Compile a database of all J C Michael Groups equipment, furniture and physical assets, computers, and devices.
- Management of the multiple locations and properties.
- Ensure that all company archives are safe and can be moved to another location on request.
- Be accountable in identifying the location of devices, and equipment that we can use to set up other offices.
- Be responsible for the movement of items to and from storages to other locations.
- Keep record of all the building insurance, utility suppliers’ bills (council tax, Business rate, electricity, gas and so on).
- Ensure CCTV is operational in all branches
- Liaise with IT provider to provide IT systems or devices update or installation and setting up of new staff account.
- Ensure the Air Conditioning Units are operational in all branches.
- Ensure that all equipment are in good working order through service and maintenance.
- Equipment Purchase storage and stock taking
- Managing archiving, storage and shredding documents for multiple sites
- Annual maintenance Health and Safety of items on sites i.e., Fire extinguishers, First Aid Boxes.
- Maintenance of equipment i.e., fans, fridges, furniture) and all properties.
- Maintenance of Software, Utilize, BT.
- Ensure new offices are set up adequately
- Fleet Care – Hiring purchase and management
- Sourcing for New Sites i.e building and properties
- Overseeing building projects, renovations, and refurbishments.
- Overseeing and agreeing contracts and providers for services including security, parking, cleaning, technology etc.
- ensuring that facilities meet government regulations and environmental, health and security standards.
- Ensure water and heating, are well-maintained
- Logistical support with internal office moves.
- Assist with the delivery of PPE.
- Capture and report the office energy consumption.
- Ensure new starters have the equipment and stationery they require.
- Manage stationery and consumable requirements for the office ensuring that cost savings are identified where possible.
- Ideally a First Aider and a Fire Marshall
- Environmentally and Health & Safety aware
- IT literate - be comfortable with multiple forms of technology and IT (VC/TC, Smart Phones, Tablets, etc.)
- The ability to quickly build a rapport with colleagues and clients
- Attention to detail
- Strong organisational and administration skills with an excellent ability to make things happen
- Driving is essential
- Experiences in construction work, building, painting, and decorating
