Reception Coordinator

University College London Hospitals NHS Foundation Trust (UCLH) invites applications for the role of Reception Coordinator at the Elizabeth Garrett Anderson (EGA) Wing. The position is permanent, full‑time (37.5 hours per week) and requires working flexible shifts including nights, weekends and bank holidays.

Main Duties
  • Provide a high‑quality administrative service and deliver an excellent patient and user experience on the maternity ward reception.
  • Supervise reception staff, covering desks and ensuring adequate coverage across Front of House, Maternity Triage, Labour Ward, and Postnatal Ward.
  • Improve workflows and develop new standard operating procedures (SOPs) to enhance service delivery.
  • Act as the first point of escalation for clinic receptionists handling complaints or unresolved issues.
  • Interact with patients, visitors and multidisciplinary staff via telephone, email and in person, maintaining a friendly and professional manner.
  • Perform all routine administrative tasks at the reception desk.
Person Specification Knowledge and Qualifications
  • Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
  • Knowledge of administrative procedures relevant to a healthcare setting.
  • Awareness of confidentiality requirements and understanding of the Data Protection Act.
  • NVQ Level 4 (or equivalent) in Business Administration, Customer Service, Healthcare Support Services or a related qualification.
Experience
  • Demonstrated problem‑solving skills in a non‑routine environment, with evidence of resolving issues as they arise.
  • Experience in a customer‑facing role, providing first‑class service and using initiative.
  • Prior NHS or healthcare setting experience preferred.
Disclosures and Checks

This position requires a Rehabilitation of Offenders Act (Exceptions Order) 1975 check and a Disclosure and Barring Service (formerly CRB) check.

Salary

£34,186 to £37,389 per annum, inclusive of Health and Care Attending Staff (HCAS) benefits.
