Overview
Ward Clerk - VRE-Pre-assessment at Moorfields Eye Hospital NHS Foundation Trust. The closing date is 01 July 2026.
To be responsible for the provision of a comprehensive and efficient administrative service to the Pre-Assessment Service, enabling the delivery of a high quality service to patients and staff.
Participate in a rota system to provide cross cover for other members of staff within the team to ensure consistent and effective service is maintained during periods of annual leave/sickness.
Participate in the regular induction and training of new members of staff/colleagues within the team, sharing knowledge and expertise of the administrative processes, functions and specialty knowledge.
Learning/training in all other departments consisting of VRE, Wards and Pre-Assessment clinic.
To ensure high standards on data entry and quality are achieved and sustained across all services in both paper and electronic record-keeping.
Attend mandatory training required for administrative staff to ensure compliance with the Trust Mandatory Framework including participating in annual performance and development reviews.
Main duties of the job- Manage day to day running of the wards without supervision
- To provide a high standard reception service and general administrative support whilst being first point of contact to patients
- When cancelling patients accurately record their RTT status ensuring the correct pathway is maintained
- Track all patient Health Records appropriately to the relevant service, using the electronic case note tracking system
- Respond to all requests and other queries via email promptly
- To liaise and communicate effectively with nurses/doctors and theatres of any changes or problems that arise on the day of surgery for patients; i.e. late arrival
- Ensure all appropriate departments are kept informed regarding changes to a patient s surgery (cancellations) i.e. Admissions coordinators, theatres
- Ensure patient information is obtained and recorded in Trust electronic systems and this is checked regularly and updated in any changed on both electronically and in patients health records
- Attending to doctors who have added patients onto the theatre list for surgery last minute and failed to inform the admissions team, including locating medical notes on the day of surgery and prepping the notes
- Must have the ability to adapt to multicultural needs and requests
- It is essential to complete the Excel Database Spreadsheet Reports on a weekly basis for the Admissions Team Leader and Matron, including an admin pack dealing with missed admissions and non-discharged patients

Job responsibilities- Manage day to day running of the wards without supervision

- Accurately record patients attendance and discharges on the Trusts electronic system correctly
- Maintain a good knowledge of RTT outcomes and the affect it has on patient pathways
- Accurately discharge patients once surgery complete using the correct RTT code
- When cancelling patients accurately record their RTT status ensuring the correct pathway is maintained
- Liaising with the coding team to ensure patient pathway through surgery is recorded accurately on PAS, including looking up patient history through discharge lists and investigating PAS errors
- Change operation booking on Open Eyes if patients are cancelled, DNA, In and Out etc.
