Vascular Surgery Admissions Pathway Coordinator

An exciting opportunity for an Admissions Pathway Coordinator within the Cardiovascular Care Group at King's College Hospital NHS Foundation Trust. The role manages inpatient and day case vascular waiting lists, ensuring compliance with RTT targets and coordinating the administrative pathway for vascular patients.

Main duties of the job
  • Serve as point of contact for patients and MDT, facilitating service improvement.
  • Administer clinics, follow up investigations and admissions for procedures.
  • Develop and maintain information systems and record clinical and performance data.
  • Update EPIC with medical information to support financial payment processes.
  • Work within multidisciplinary team to provide high‑quality, patient‑centred service.
  • Attend department meetings on waiting lists, day surgery and theatre scheduling.
Job responsibilities
  • Manage inpatient waiting list for Vascular Consultants.
  • Validate waiting lists as per Trust guidelines.
  • Plan admissions with MDT and provide timely information to patients.
  • Add patients to day‑case waiting lists on EPIC.
  • Maintain accurate records of all correspondence.
  • Reallocate day‑of‑admission cancellations within 28 days and report issues.
  • Identify patient needs (language, anxiety, carer/dependency).
  • Manage waiting list activity and admission data within EPIC.
  • Follow all administrative processes in elective and emergency pathways.
  • Ensure key information is uploaded onto EPIC.
  • Use administration systems to coordinate pathways and update key dates.
  • Notify staff of potential delays and breaches of key milestones.
  • Arrange day‑surgery admissions per Trust policy.
  • Monitor lists daily and act on cancellations to maximize theatre utilisation.
  • Follow procedures for cancelled admissions per re‑booking policy.
  • Monitor appointment attendance and re‑arrange as needed.
  • Demonstrate knowledge of 18‑week RTT pathway.
  • Receive telephone enquiries and maintain accurate records.
  • Answer telephone in line with Trust greeting policy.
  • Process all incoming correspondence promptly.
  • Keep patient demographics up‑to‑date.
  • Deliver Access and waiting list policies.
  • Handle consultant, registrar, nursing and management queries.
  • Support VNUS clinic administration.
  • Maintain up‑to‑date electronic filing system.
General duties and expectations

Person Specification
  • Secondary education with literacy and numeracy skills (GCSE pass or equivalent).
  • Experience using MS Office (Word, Excel).
  • Experience managing patient pathways and waiting lists.
  • Excellent communication skills (verbal, written, telephone).
  • High level computer competency, ability to input and retrieve information.
  • Ability to work to deadlines, prioritise, multi‑task and work under pressure.
  • Teamwork skills and ability to work independently.
  • Relevant qualifications or diploma level experience.
  • Experience in NHS administrative roles.
  • Understanding of NHS access standards, RTT and planned procedures.
  • Ability to analyse and report data.

Salary

£34,186 to £37,389 a year, including HCA.
