Job OverviewThe Operations Manager will be responsible for supporting the internal operations of our event planning company. This role involves performing key administrative tasks, managing office logistics, and assisting the event planner and vendors. The ideal candidate will be highly organised, detail‑oriented, and efficient in a fast‑paced environment.
Key Responsibilities 1. General Administrative Support- Ensure orders are placed and followed up for upcoming events
- Liaise with the catering team making sure their requirements are met
- Run the diary and confirm client meetings, venue visits and food tastings
- Manage printing requirements for events
- Work closely with vendors, the production team and all manner of suppliers to make sure timely and accurate delivery of services
- Assist in the preparation of event materials, presentations, and handouts.
- Coordinate logistics for events, including booking venues, catering, transportation, and accommodation.
- Maintain and organise internal event files and records, both physical and digital.
- Track event budgets, payments, and invoices using Xero software (training given)
- Assist with post‑event reports and evaluations.
- Ensure that all documentation is accurate and filed according to company procedures.
- Prior experience working in the event planning or hospitality industry is a plus although not essential.
- Office administration experience is important
- Excellent organisational and time‑management skills.
- Strong written and verbal communication skills.
- Strong attention to detail and problem‑solving abilities.
- Ability to multitask and prioritise effectively in a fast‑paced environment.
- Professional demeanour with a proactive attitude.
- Ability to work independently as well as part of a team.
- Adaptable and flexible, especially in high‑pressure situations.
- Full‑time position;
Monday to Friday, 9:00 AM – 5:30 PM - Occasional evening and weekend work may be required depending on the event schedule.
