Position: HTB EA to the Associate Vicar
Location: Greater London

The key purpose of this role is to Working as a “right hand” to the Associate Vicar, as an Executive Assistant and lead of key projects.

Executive

Support, Diary Management & General Administration
  • Manage the Associate Vicar's inbox, correspondence, and enquiries, ensuring timely and appropriate responses.
  • Draft a high volume of emails, reports, letters, presentations, and other communications on behalf of the AV.
  • Proactively manage the AV's diary, appointments, meetings, and key dates throughout the church calendar.
  • Support the administration and coordination of clergy rotas and associated communications.
  • Coordinate the weekly HTB Group Staff Meeting, including running orders, speaker coordination, agendas, and liaison with Worship and Prayer teams.
  • Work closely with the Vicar's Office and ministry teams to ensure effective communication and coordination across the organisation.
  • Support Senior Leadership Team meetings and other leadership forums as required.
  • Arrange all travel requirements, including flights, rail travel, accommodation, insurance, itineraries, and expense management.
  • Conduct research and provide administrative support for preaching assignments, ministry initiatives, and other projects.
Sunday Services, Academy & Preaching/Sermon Series
  • Support the oversight and delivery of Sunday services across HTB's six sites and ten weekly services.
  • Provide direct support for the 9:30am and 11:30am services at HTB Brompton Road.
  • Assist with preaching schedules, clergy allocation, and service planning.
  • Coordinate effectively with Worship, HTB Kids, Youth, Students, Production, Livestream, and other ministry teams.
  • Coordinate all aspects of external speaker visits, including invitations, logistics, travel, accommodation, communications, honorariums, and hospitality.
  • Act as the primary point of contact for visiting speakers and guests.
  • Coordinate resources, books, and supporting materials required for guest speakers and sermon series.
  • Work with the Director of Communications and other teams on significant speaker-related announcements and requests.
PCC & Wider Church of England Engagement
  • Draft PCC papers, reports, presentations, and supporting documentation.
  • Work closely with the Group COO's Office to prepare governance-related materials.
  • Support communications with the Chelsea Area Deanery, Kensington Area Council, Diocese of London, Archdeacons, and other Church of England bodies.
  • Coordinate responses to diocesan requests and matters affecting HTB.
  • Assist in maintaining compliance with Church of England requirements and governance expectations.

  • This role requires strong skills in administration, attention to detail, writing and drafting and excellent organisational skills
  • Experience supporting a senior leader or C-Level executive in a supporting capacity in a fast‑paced and fast‑moving organisation
  • High level of confidentiality
  • Excellent communication and interpersonal skills
  • Excellent computer literacy skills (including MSWord, MS Powerpoint and MSExcel)
