FID - S&T Admin Coordinator Department Overview

The Fixed Income Division (FID) is comprised of Interest Rate and Currency Products, Credit Products, Securitized Products, and Municipal Securities. Professionals in the Division assess and actively manage risk, trade securities, and structure as well as execute innovative transactions in the fast‑paced and constantly changing global markets. The Commodities Division is a market leader in energy, metals, and agricultural product trading worldwide whose professionals trade in both physical and derivative commodity risk.

Responsibilities
  • Working alongside the Office Management team providing support to the Sales & Trading department (approx 1500+ people).
  • Main point of contact and “go to” person for all administrative requests.
  • Coordination of all new starters, leavers, and transfers for the S&T Division and responsible for raising all relevant requests for London employees as well as supporting EMEA branches.
  • Creating and maintaining administration process and procedure documents.
  • Fielding all “I want / I need / how do I” requests for Sales & Trading admin.
  • Ensuring stationery stores for the department are always stocked, items ordered are relevant and invoices paid in a timely manner.
  • Ad hoc project support.
Qualifications
  • MS Office suite (Outlook, Word, PowerPoint, Excel).
  • Solid IT skills and ability to pick up new systems quickly.
  • Excellent communicator and understanding of urgency.
  • Great organisational skills.
  • Confident problem solver and experience dealing with issues.
  • Strong administration and decision‑making skills for optimal results.
  • Ability to multi‑task at a high level and produce high quality, accurate timely work.
  • Flexible on working hours and understanding of the business demands.
  • Work under own initiative for longer‑term projects.
  • Able to manage stress, personable, self‑confident.
  • Proactive and able to anticipate needs, particularly for repeated tasks.
  • Adapts communication style to needs of audience.
