We are looking for an enthusiastic, hard‑working Admin to work within the Hounslow Community Health - Children’s Services Team based at Heart of Hounslow. This role offers the opportunity to directly improve the patient experience for children, young people and their families.
Working hours are Monday to Friday 9:00am – 5:00pm. Previous NHS experience is not essential; extensive training will be provided.
Responsibilities- Provide high‑quality administrative support to the Department, including typing, reception duties, customer service, and general correspondence.
- Maintain and update departmental databases, ensuring accurate and timely information.
- Book and organise appointments, meetings, and meeting rooms; order and manage supplies and medical equipment.
- Create, validate and distribute referral letters, clinic letters, reports, minutes, action notes, and other documentation using Microsoft Office and NHS System One.
- Support meetings by preparing agendas, taking and distributing minutes, and following up on action points.
- Assist with data collation and reporting as needed.
- Offer cross‑cover for the administrative team and, when required, deputise for the Team Lead for short periods.
- Provide training, advice, and support to new or less experienced staff on administrative duties.
- Ensure excellent customer care by giving timely, relevant advice and assistance to service users.
- Experience working with local policies, procedures and NHS IT systems.
- Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills with staff, patients, families, carers and professionals.
- Excellent attention to detail and accuracy.
- Ability to work as part of a team while managing independent workload and prioritising tasks.
- Capability to establish links with other services and professionals.
- Willingness to learn, develop and progress within the NHS.
