Non‑Emergency Patient Transport is a service made available for those who meet the eligibility criteria set by the Epsom and St Helier University Hospitals NHS Trust and transport commissioners. We provide a professional transport service to our service users.

The post holder will work in a Control Room providing facilitation of the planning function in the main ensuring that all service users are allocated to a suitable resource for the following day. The post holder will also, in occasion, be required to assist with the Ad‑Hoc Control function for non‑urgent transfer of patients, ensuring co‑ordinated delivery of Patient Transport Services takes place as per contractual agreements.

They will liaise closely with external contacts which may include members of the public and/or Clinical departments at hospitals, GP surgeries, clinics, day centres, nursing homes.

The post holder ensures through accurate bookings, concise planning and effective control processes that patients receive a smooth and timely journey to or from the hospital. Close liaison with all parties is paramount to provide patient transport of the highest calibre.

It is desirable that you have had experience of working in a patient transport control environment. You will need to be able to stay calm and professional and be used to working in a pressurised environment, as well as record accurate information in live time whilst maintaining the service.

37.5 hours per week.

As a Planner, you will provide a crucial role in the NEPTS service as you will be responsible for planning and coordinating all pre‑booked patient journeys to our available resources. This is a dynamic role where changes can occur throughout your working day so you must be able to be adaptable with excellent problem solving skills. We cover a wide geographical area across South West London and Surrey therefore good geographical knowledge will be advantageous.

The hours for this are 09:00 – 17:00 Monday – Friday; however the Epsom and St Helier University Hospitals NHS Trust PTS control room offers our patients a service 24 hours a day, therefore the hours worked may vary dependent on service need.

Job responsibilities

Key Duties

  • Demonstrate the planning of patients to vehicles to maximum effect, ensuring resources are used appropriately, providing maximum service coverage with minimal disruption of service, minimising journey times wherever possible.
  • Demonstrate effective planning routes and allocation of vehicles on a daily basis utilising the CLERIC computer based planning/day control system.
  • Ensure accuracy in allocation of work to operational crews and drivers via handheld PDAs.
  • Ensure appropriate amendments are made to bookings such as cancellations, changes to bookings etc to ensure accurate statistics can be obtained for clients.
  • Liaise frequently with Hospital Staff, PTS Management, Renal Coordinator and Patients to ensure the effective and efficient running of the service.
  • Ensure the co‑ordination of long distance journeys in the most efficient way.
  • Negotiate with Surgeries and Hospital staff with regard to changes, e.g. appointment times and the ability to facilitate patients.
  • Make decisions on unforeseen transport problems e.g. vehicle breakdown.
  • Re‑arrange work due to staff sickness/absence to ensure that all patients are conveyed efficiently.
  • Receive requests for on‑the day bookings, liaise with hospital staff and notify relevant Clinic or Coordinators immediately of any patients who may not have attended.

The post holder will undertake any other duties which may be reasonably regarded as within the nature of the duties, responsibilities and grade of the post as defined, subject to the provision that appropriate training is given and that wherever possible significant changes of a permanent nature shall be mutually agreed and incorporated into the job.
