We are looking to recruit an enthusiastic, organised and motivated Administrative Assistant to join our friendly and supportive team at Elmstead Medical Clinic.
This is an exciting opportunity to become part of a busy GP practice providing high-quality administrative support to our clinical and management teams while ensuring an excellent service for our patients.
The successful candidate will undertake a varied administrative role supporting clinicians, monitoring referrals, coordinating meetings, assisting with Quality and Outcomes Framework (QOF) work, maintaining patient records and supporting the smooth running of the practice.
The ideal applicant will be proactive, organised, able to work independently and enjoy working within a fast-paced NHS primary care environment.
Main duties of the jobThe Administrative Assistant will provide comprehensive administrative support to the Practice Manager, clinicians and the wider practice team to ensure the smooth and efficient running of Elmstead Medical Clinic. The role involves managing correspondence, coordinating meetings, taking minutes, supporting referral tracking, monitoring Quality and Outcomes Framework (QOF) activities, maintaining accurate patient records and assisting with a range of day-to-day administrative tasks.
The post holder will manage generic email inboxes, prepare reports and spreadsheets, liaise with hospitals and community services, process incoming and outgoing correspondence, and support clinicians with administrative duties. They will be expected to maintain confidentiality, prioritise a varied workload, work accurately under pressure and provide excellent customer service to both patients and colleagues.
This is a varied and rewarding role within a busy NHS General Practice, requiring excellent organisational, communication and IT skills, with the ability to work both independently and as part of a team. Previous experience within a healthcare or primary care setting and knowledge of EMIS Web would be advantageous but are not essential.

Job responsibilitiesThe successful candidate will:
- Provide comprehensive administrative support to the Practice Manager and clinical team.
- Coordinate meetings and prepare agendas.
- Monitor and support QOF administration.
- Assist with patient recall programmes.
- Manage generic NHS email inboxes.
- Process incoming correspondence.
- Support referral tracking and follow-up.
- Assist clinicians with administrative tasks.
- Prepare documents, reports and spreadsheets.
- Scan and code clinical correspondence where appropriate.
- Liaise with hospitals and community services.
- Monitor outstanding actions.
- Process medical reports and maintain invoice trackers.
- Deal with outgoing post.
- Maintain confidentiality at all times.
- Support reception during periods of operational need.
- Undertake any other reasonable administrative duties requested by the Practice Manager.
- Experience
- Previous administration experience.
- Microsoft Office (Word, Excel and Outlook).
- Excellent organisational skills.
- Ability to prioritise workload.
- Experience dealing with confidential information.
Previous NHS or General Practice experience. - Experience using EMIS Web.
- Knowledge of QOF.
- Experience of referral management.
- Minute taking.
- Experience of medical reports.
- Knowledge of NHS systems.
- Qualifications
- GCSE English and Maths (Grade C/4 or above) or equivalent.
