Reports to: Partner & Operations Director
Working Pattern: Monday – Thursday in office
Fridays at home
Office Management- Management of the office/building with the building manager.
- Proactively report daily upkeep issues relating to the office/appliances and attend monthly reviews with the building management team.
- Management of office floor, including maintaining tidy desks, cables and breakout areas.
- Management of stock take for the office floor, ensuring the office is appropriately stocked at all times.
- Assisting with office moves to other buildings and moving furniture within the office floor.
- Order company gifts, office stationery and supplies.
- Manage Health and Safety in the office, Fire Marshall, First Aid, first aid supplies and procedures in case of emergency.
- Sending and sorting company post and arranging courier requests.
- Ensure an accurate asset register is maintained at all times.
- Managing complex calendars and scheduling meetings across multiple time zones for the Founder, CEO and other Board members.
- Prioritising appointments and resolving diary conflicts.
- Coordinating internal and external meetings, including agendas, materials and room bookings.
- Organising domestic and international travel (trains, flights, accommodation, visas).
- Preparing meeting packs, board papers and reports where required.
- Managing expenses; uploading receipts with supporting information.
- Tracking deadlines and ensuring follow-up on key actions.
- Lead the coordination and delivery of internal and external events, including performance updates, client round tables, networking events and socials.
- Manage end-to-end event logistics, including venue sourcing, supplier coordination, catering, room set-up, materials and AV requirements.
- Act as the central point of contact for stakeholders, working closely with Sales, Finance and Marketing teams to ensure smooth planning and execution.
- Support the creation and collation of presentations, updates and event communications where required.
- Oversee on-the-day event delivery, ensuring a professional, well-organised experience for attendees and stakeholders.
- Highly organised with strong time management skills and the ability to manage multiple priorities simultaneously.
- Excellent communication and stakeholder management skills, with confidence working across all levels of the business and with external partners.
- Strong attention to detail with a proactive, solutions-focused mindset.
- Ability to work independently, use initiative and remain calm under pressure in a fast-paced environment.
- Confident coordinating events, logistics, diaries and administrative processes to a high standard.
- Professional, approachable and adaptable, with a positive team-oriented attitude.
- Strong working knowledge of Microsoft Office, including Outlook, PowerPoint, Excel and Teams.
- Previous experience in office coordination, executive support, events or operations-based roles preferred.
- Comfortable handling confidential or sensitive information with discretion and professionalism.
