Workplace Services Ambassador

The Workplace Services Ambassador is responsible for delivering a 5-star workplace experience to employees, visitors and guests, ensuring all workplace environments are welcoming, efficient and professionally managed.

Role

Summary:

Collaborating within the Workplace team, the Workplace Services Ambassador embodies and delivers an exceptional workplace experience with energy, passion and presence to all staff and guests onsite.
This important customer-facing role creates positive human interactions throughout the workplace and supports the delivery of workplace experience services, administrative support and operational excellence. Services may be delivered directly by CBRE or through third-party service providers working in partnership with this role.
Provide an exceptional guest experience to all colleagues and guests
Deliver personalised and memorable customer interactions
Take ownership of all workplace spaces including meeting rooms, event spaces, collaboration areas and work spaces to ensure an exceptional workplace experience through the PHD model
Support the Workplace Experience Team and wider CBRE community with administrative tasks including mail services, event management, desk booking and locker management
Request building and equipment services as required
Support onboarding activities including new employee orientation, workflow assistance, equipment and software ordering and first-day welcome processes
Provide administrative support including meeting coordination, event management, workplace equipment management and stock control
Respond to workplace requests, enquiries and complaints promptly and professionally
Maintain relationships with suppliers and service providers and ensure contractual and compliance documentation remains in place
Monitor and manage desk and partner office utilisation
Support workplace moves across floors and buildings
Assist with furniture moves and workplace layout changes
Guide users in line with workplace strategy including shared and hot-desking initiatives
Support workplace analytics activities through accurate data collection
Ensure workplace safety standards are maintained by both CBRE employees and third-party service providers
Manage facilities and office requests through to completion and escalate recurring issues where necessary
Manage workplace stock levels and maintain effective inventory processes
Handle enquiries in person, by telephone and by email
Maintain workplace cleanliness standards across both client and internal areas and report issues where identified
Take ownership of client and employee interactions and ensure appropriate follow-up
Provide catering support and maximise sales opportunities through effective service delivery
Gather customer feedback and share insights with management
Support the Facilities team with activities such as scanning, archiving, desk occupancy checks and contractor management to promote a collaborative Unified FM approach
Assist with project activities relevant to the business area
Support the continued digitalisation of workplace services

Experience

Required:

Strong communication skills with the ability to interpret instructions, correspondence and workplace procedures
Ability to prepare routine reports and communicate effectively with clients, colleagues and management
Ability to respond professionally to enquiries and complaints
Ability to present information effectively to internal teams and employee groups
Basic financial knowledge and understanding of financial principles
Strong problem-solving skills and ability to manage complex situations
Intermediate Microsoft Office skills including Word, Excel, PowerPoint, SharePoint and Outlook
Comfortable using digital workplace tools, applications, databases, cloud technologies and workplace management systems
Results-oriented with a passion for delivering exceptional service standards
Strong customer focus with the ability to build and maintain effective working relationships
Degree or further education qualification preferred
Minimum 1-2 years' experience within Facilities, Front Desk, Concierge, Hospitality or Customer Service environments preferred
Experience working within Facilities Management and/or managing suppliers and contractors beneficial
First Aid and Fire Warden certification desirable, or willingness to undertake training
