Job summary

To provide administrative support for the therapy services directorate.

To ensure a high quality, friendly and efficient frontline service to patients and staff, contributing to regular needs analysis, service review and effective management of patient complaints and queries.

To provide a friendly, efficient and professional reception service for outpatient areas.

To be responsible for the provision of data entry, general administration and clinic preparation services.

To assist in the set-up and administrative design of the above services.

The post-holder will also identify and undertake changes as required to deliver the service, demonstrating problem-solving ability and initiative.

To monitor and manage the departmental databases, ensuring data quality and the production of required data.

Main duties of the job Customer care
- To run the therapy outpatient services ensuring the smooth running of all the clinics, and that the highest standards of customer care are maintained and promoted at all times.

To act as the first point of contact for patients, GPs or others with queries regarding the designated services and dealing with administrative enquiries/correspondence in this regard.

To be responsible for ensuring all visitors are given a positive image of the service as soon as they enter, being polite, courteous and helpful to all visitors and remaining calm in all situations.

Service development
- To arrange, support and attend any meetings or updates that are relevant and necessary for this role.

To implement new policies and procedures, seeking guidance where necessary.

To work with the multi-disciplinary teams to develop standards for the administrative support provided within services.

To carry out appropriate performance monitoring and audit mechanisms.

Operational
- To carry out a range of administrative duties in order to support the operational management of designated out-patient services including but not exclusively: appointmentmanagement, telephone duties, mail management, transport and interpreters.

Information technology/data quality
- To develop and maintain a working knowledge of the electronic patient record system,attending and cascading training to other team members as desirable and/ or necessary.
