The IT team is responsible for providing a safe, secure and reliable technology environment for colleagues across Ofcom. Through the delivery and support of core technology services, infrastructure and systems, and in partnership with teams across the organisation, including Digital, Data & AI, the team enables Ofcom to deliver its strategic priorities and operate effectively.

The purpose and scope of the role

As PA to the IT Director, you will provide high-quality executive support, helping to ensure the smooth and effective running of the Director’s office. Acting as a trusted partner, you will manage competing priorities, coordinate key activities and build strong relationships with stakeholders across Ofcom and externally. This is a fast-paced and varied role requiring excellent organisational skills, sound judgement, discretion and a proactive approach.

Key Responsibilities
  • Provide comprehensive PA support to the IT Director, including diary management, travel arrangements, expenses, timesheets and general administrative support.
  • Act as an effective and professional interface between the IT Director, the IT leadership team and internal and external stakeholders.
  • Extensively and proactively manage a complex and demanding diary, assessing priorities to ensure the best use of the IT Director’s time.
  • Manage incoming correspondence, emails and telephone calls, responding on behalf of the IT Director where appropriate and ensuring timely follow-up of actions.
  • Coordinate leadership meetings, governance forums, team meetings and other key activities, including agenda preparation, room bookings, logistics and action tracking.
  • Support the preparation of briefing papers, reports, presentations and meeting packs within agreed timescales.
  • Keep abreast of incoming and outgoing information, ensuring actions, decisions and requests are tracked and coordinated effectively.
  • Exercise discretion and sound judgement when handling sensitive and confidential information, escalating issues appropriately where required.
  • Build and maintain strong working relationships with stakeholders across Ofcom, including colleagues within IT, Digital, Data & AI, the Executive Office and external partners.
  • Work collaboratively with the wider PA and administrative community to share best practice, provide resilience and support cross-functional activities.
  • Lead coordination of team events, leadership off-sites, workshops and wider team engagement activities.
  • Support effective administration across the IT function, including purchasing, invoice processing, maintaining records and filing systems, and coordinating team activities.
  • Champion efficient ways of working and support the effective use of collaboration and productivity tools across the team.
  • Undertake general secretarial and administrative duties, including drafting correspondence, preparing minutes and presentations, maintaining documentation and supporting ad hoc projects as directed by the IT Director.
