We’re looking for an Executive Assistant to join our team!

Reporting to the Managing Director of Le Boat, you’ll provide high-quality administrative support to the Le Boat Executive Team. The role will include diary management, travel coordination and expense processing, as well as leading the planning and organisation of two key annual conferences for our Distribution and Operations teams.

The role is25 hours perweek, with flexibility around the working pattern. Ideally, we’dlike these hoursto be spread across Monday to Friday, but we’rehappy to considera four-day arrangement for theright candidate. Wealso offer flexible hybrid working, with3–4 daysper month inour Surbiton office.

What you’ll do:
  • Manage diaries forthe Le Boat Managing Director and Executive Team, maintaining up-to-date calendars of meetings and deadlines, resolving conflicts and ensuringeveryoneis fully prepared.
  • Schedule company-wide, departmental and team meetings as required, ensuring they are arranged efficiently andin good time.
  • Proactively prepare meeting documents and agendas, and follow upon action pointsas required.
  • Liaise with international colleagues to ensure appropriate attendance at meetings, eventsand conferences. Thismay occasionally require working outside corehours, including weekendsor UK bank holidays.
  • Lead the organisation of twomajor annual conferences for our Operations and Distribution teams, held in international locations, including travelling to and attending the events toensure their smooth running.
  • Proactively coordinate domestic and international travel itineraries, balancing time efficiency withcost-effectiveness.
  • Collate, prepare andsubmit expense reportson behalf of Executive Team members.
  • Track annual leave requests for the Executive Team, securing

    Managing

    Director approval and highlighting any potential conflicts.
  • Lead the creation and distribution ofthe monthly LeBoat internal newsletter, ensuring engaging and relevant content forour global employee base.
  • Support with HR administration, including contracts and HRISupdates.
  • Collaborate with other

    Executive Assistants across

    Travelopia to promote efficiency and effective cross-functional working.
  • Support the preparation and delivery of presentations.
  • Provide additional ad hoc administrative supportto the Executive Team as required.
What you’ll bring:
  • Previous experience asa Personal Assistant, Executive Assistant, or in anevents-related role.
  • A high levelof discretion andthe ability to maintain absolute confidentiality.
  • Fluency in English, both written andspoken;
    French language skills are an advantage but not essential.
  • Excellent knowledge of Microsoft Office, with the ability and willingness touse AI toolssuch as Microsoft Copilot to improve efficiency and productivity.
  • Excellent organisational and communication skills.
  • Confidence working with colleagues at alllevels, including theTravelopiaCEO.
  • Strong prioritisation andtime-management skills.
  • Flexibility and strong problem-solving skills, particularly when working under pressure andto tight deadlines.
  • Exceptional attention todetail anda commitment to delivering high-quality work.
  • A confident and assertive approach.
