What You’ll Do
As a Legal Administrator, you’ll provide high-quality administrative and operational support to our in-house Legal Services team, helping our solicitors manage key legal work streams efficiently and effectively.
You’ll play an important role in ensuring legal referrals and enquiries are managed accurately and promptly, taking ownership of shared inboxes, recording and tracking incoming instructions, and directing matters to the appropriate solicitor or workflow.
Working with colleagues across Legal Services and the wider organisation, you’ll handle sensitive information professionally, maintain strict confidentiality and ensure the team has clear oversight of its workload and priorities. You’ll need to be highly organised, detail-focused and comfortable managing a varied workload where priorities can change quickly.
How You’ll Do It- Monitor incoming legal referrals received through Workwise, email and post, ensuring matters are accurately logged and directed to the appropriate solicitor.
- Review referrals and use sound judgement to identify matters that may require prioritisation or escalation, ensuring urgent or higher-risk issues are progressed promptly.
- Work with colleagues across the organisation to make sure legal referrals contain the information required, following up and collating outstanding information where necessary.
- Maintain accurate records of legal referrals and update internal systems so the Legal Team has clear oversight of workflow, demand and outstanding matters.
- Manage and organise the team’s shared inboxes, ensuring correspondence is regularly reviewed and actioned.
- Support the preparation and publication of articles and communications for internal channels.
- Help create publicity materials for internal and external audiences and support updates to team webpages and internal databases.
- Prepare and organise court bundles and coordinate their distribution where required.
- Manage the processing of legal fees, disbursements and other payments through the finance system, providing guidance to colleagues and ensuring requests are accurate and submitted promptly.
- Organise meetings and events, including preparing agendas, booking rooms, coordinating visitors and refreshments, taking minutes and producing meeting notes.
- Process invoices and raise purchase orders accurately.
- Attend external meetings or events where required to provide administrative and operational support.
- Follow policies and procedures, including GDPR requirements, when recording and handling personal information.
- Build positive working relationships and contribute to a collaborative, supportive and can‑do team environment.

Essential- Demonstrable experience providing comprehensive administrative support.
- Experience of processing invoices and raising purchase orders, with a strong focus on financial accuracy.
- A strong understanding of confidentiality and the ability to handle sensitive information in a professional, compliant and responsive manner.
- Excellent written and verbal communication skills, with the ability to adapt your approach for different audiences.
- Strong organisational and time-management skills, with the ability to balance competing priorities and meet deadlines.
