- Work closely with Business Development to organise events and conferences, maintain CRM records, produce and update fee earner CVs, use the Business Development hub and credentials database, and assist with bids, tenders and pilots.
- Where an allocated fee earner is a Client Relationship Partner for a Client Universe Client, support Business Development with core team and relationship meetings, events and regular client reports.
- Undertake matter management processes, ensuring correct rates are applied at opening, engagement letters and matter specifications are prepared promptly, and Onboarding is consulted as required.
- Complete conflict checks, Client Due Diligence and the end-to-end Client Matter Inception process accurately, following firmwide best practice protocols.
- Manage file closure processes, ensuring bills are paid, client balances and WIP are cleared, and completed files are archived correctly.
- Provide comprehensive diary management, including forward planning, proactive travel and meeting arrangements, and independently resolving meeting clashes where appropriate.
- Identify and recommend cost-efficient options for complex travel arrangements.
- Anticipate and organise meeting requirements, including meeting packs, itineraries, room bookings and hospitality.
- Use the Cube for administrative tasks, taking ownership to ensure work is completed accurately and delivered to fee earners promptly.
- Delegate appropriate work to Document Production, including pitch and tender documents and the conversion and amendment of legal documents and transcripts.
- Demonstrate technical competence, identifying and addressing knowledge gaps to fulfil all aspects of the role.
- Follow the firm’s risk and compliance policies and procedures, promptly raising issues or queries with the relevant Partner or Risk and Compliance team.
- Complete all compulsory firm training on time and return all complaints and claims questionnaires.
Skills & Experience
- Three years’ experience, or equivalent, gained within a comparable environment at an appropriate level.
- Excellent verbal and written communication skills, including accurate grammar and punctuation.
- Strong competence in Microsoft Office.
- Proven experience of delivering exceptional client service.
- Excellent attention to detail and experience working in a fast-paced office environment.
- The ability to work collaboratively as part of a team and independently.
- A flexible approach to meeting client needs.
- A commitment to exceeding expectations and achieving goals.
