The Proposals Coordinator role is part of a dedicated Rail Business Development and Proposals team responsible for all aspects of work‑winning across the Rail business unit and multidisciplinary WSP pursuits within the rail sector.

The role supports capture and convert phases of the WSP winning work lifecycle, coordinating interfaces between business leaders, technical staff and other proposals team members to produce high‑quality, compelling submissions. The coordinator also supports comprehensive work‑winning and business development activities that contribute to the growth and success of the Rail business unit, including marketing and communications, client account support, content management, collateral maintenance and systems and pipeline administration.

Little More About Your Role

In this role you will plan, develop and deliver responses to client procurements across the work‑winning lifecycle from capture to contract award and assist with the development, implementation and continuous improvement of work‑winning processes, collateral and best practice.

Proposal Coordination & Process Management
  • Facilitate delivery of bids or portions of bids/PQQs, including proposal kick‑off and review meetings, document control and coordination of the proposal process.
  • Plan and facilitate adherence to programmes from kick‑off to review meetings, managing agenda, materials and outputs (minutes/actions).
  • Follow WSP best‑practice governance including qualification, review and close‑out procedures (e.g., lessons‑learned reviews).
  • Coordinate interfaces with the proposals team, other UK/global business streams and partners/subconsultants.
  • Conduct market research and analysis, client and competitor intelligence for pursuits, contributing to proposal winning strategies including deconstructs, SWOT analyses, proposal win themes and storyboard development.
  • Formulate overall structure of the proposal submission before writing begins – source existing material/best practice answers, develop answer plans.
  • Work with technical authors to convert knowledge into winning solutions and proposals.
  • Write and support impactful, tailored, technically differentiated bid content, and create visually compelling graphics.
  • Support project teams in preparation for client interviews, including presentation development and coaching.
  • Collate proposal feedback from all members of the project proposal team for continuous improvement and emerging best practice.
Proposals Operations and Best Practice
  • Act as a hub of Rail best practice and knowledge for proposals and business development.
  • Ensure the WSP message and brand is promoted, including best‑practice materials such as CVs and project sheets.
  • Improve the quality and standards of proposal writing and production, promoting best practice for layout and content of all proposal submissions.
  • Administer Decision to Bid gateway process (supporting the Rail business unit’s leadership team), maintaining a log of minutes and archive, and following up on actions.
  • Manage portals/client‑facing communication channels to progress pursuits.
  • Maintain awareness of WSP’s business strategy, services, people and projects to support the preparation of proposals and work‑winning strategies.
Business Development
  • Support marketing and communications for the Rail business unit, researching and drafting content for internal communications (e.g., people and project stories) and supporting external communications tasks such as awards, events and profile raising for our projects and people.
  • Participate in client account management teams to support research, analysis and feedback collation.
  • Prepare client‑facing materials such as presentations, capability statements and other marketing materials.
