We are seeking an experienced and proactive Business Support Manager to lead the evolution of our newly centralised Business Support function. This is a unique opportunity to play a key role in shaping a centre of excellence that provides high-quality administrative, financial and operational support across the Foundation.
Leading a small but impactful team, you will drive service excellence, strengthen governance and controls, and deliver efficient, customer-focused support to colleagues across the organisation. You will oversee complex invoicing and billing processes, manage key systems and vendor relationships, and identify opportunities to streamline and improve the way we work.
As we transition from a decentralised administrative model to a more strategic and centralised approach, you will have the opportunity to design and embed best practices, build organisational capability, and help create a scalable support function that enables our teams to maximise their impact around the world. AboutThe Role
As a Business Support Manager at the Thomson Reuters Foundation, you will:
- Lead, coach and develop the Business Support Coordinator and Invoicing & Billing Analyst, overseeing workload planning, performance management, recruitment, onboarding and ensuring effective service coverage across the organisation.
- Act as a senior subject matter expert for the Foundation's core business systems (including SAP, Ariba and Convera), overseeing training, licensing, user support and escalation management while maintaining appropriate team resilience and back-up coverage.
- Oversee invoicing, billing, payment processing, sales order administration, vendor onboarding and procurement compliance, ensuring accuracy, strong financial controls and adherence to organisational policies.
- Manage organisational subscriptions, approved travel provider relationships, purchasing support and the resolution of financial administration queries, including expense investigations and budget coding issues.
- Lead the continuous improvement of business support processes, systems and documentation, driving greater efficiency, consistency, automation and service excellence across the Foundation.
- Develop and deliver guidance, training and performance reporting for business support services, identifying opportunities for further centralisation and supporting wider Operations objectives.
- Oversee delivery of core administrative services, including executive diary management, travel and event coordination, onboarding and offboarding administration, facilities support, shared inbox management, organisational records and contingent worker administration.
- Provide hands-on support for complex travel arrangements, staff induction activities, organisational website updates and logistics for Foundation-wide events, ensuring a seamless experience for colleagues and stakeholders.
To be a Business Support Manager at the Thomson Reuters Foundation, you will likely have:
- Proven experience in business operations, office management, business support or financial administration, including responsibility for leading and developing teams.
- Strong understanding of invoicing, procurement and financial administration processes, with a track record of ensuring accuracy, compliance and effective controls.
- Experience using ERP and financial management systems, such as SAP, alongside invoicing and payment platforms (e.g. Convera); familiarity with system administration and user support is advantageous.
- Previous experience within a charity, NGO or purpose-led organisation would be beneficial.
- Demonstrated people leadership skills, with the ability to coach, motivate and develop high-performing teams while fostering a collaborative and customer-focused culture.
- Excellent organisational and prioritisation skills, with the ability to manage multiple activities, balance competing demands and deliver results in a fast-paced environment.
- Strong analytical and problem-solving skills, coupled with sound judgement and a continuous improvement mindset focused on enhancing processes, efficiency and service delivery.
- Confident communicator and relationship builder, capable of working effectively with senior stakeholders, programme teams and external suppliers, while handling sensitive and confidential information with discretion and professionalism.
