Thor is growing, and we’re looking for a bright, people-focused coordinator to join our Contract Services team. This role is perfect for someone early in their career who enjoys working with people, keeping things organised, solving problems and being part of a fast-moving, high-performing environment.
As our Contract Services Coordinator, you’ll play a key role in ensuring our contractors experience a seamless onboarding process and feel supported throughout their engagement. You’ll also help give our clients confidence in our offering, while ensuring our internal teams have accurate, reliable information and data to deliver an exceptional service.
This is a people and delivery-focused role, combining contractor support, onboarding coordination, workforce management and data reliability to strengthen our overall offering. You’ll work across multiple teams and become an important link between our contractors, clients, Finance, Recruitment, Sales and wider business functions.
The role will sit within the Contract Services department; however, its responsibilities and deliverables will span multiple departments, all working towards the same overarching objective: ensuring robust workforce management, consistency and visibility across the business.
This role will be reporting into the Legal and Compliance Manager.
Key Responsibilities Contract Services – 18-22 hours/week- Take ownership of the company’s House Runner contractor book, maintaining regular communication and providing ongoing support, managing extension negotiations and ensuring effective timesheet management.
- Support the Global Contractor Book, ensuring smooth onboarding and ongoing contractor care through regular welfare check-ins, proactive communication and management of queries or escalations.
- Liaise with third parties, including clients, umbrella companies and other relevant stakeholders involved in the contractor engagement.
- Escalate issues appropriately across the business and work closely with Sales and Recruitment teams where required.
- Proactively identify and support the implementation of process improvements across the Contract Services function.
- Ensure contractor and engagement data is accurately recorded and maintained within the CRM system, in line with data protection and compliance requirements.
- Prepare and maintain regular reports and datasets to track workforce activity, performance and key deliverables.
- Ensure internal documentation remains accurate and up to date, including developing and maintaining our internal Tendering Library to provide easy access to company information and supporting materials.
- Lead and contribute to internal projects and initiatives related to the Contract Services function.
- Support Finance with the monthly timesheet process by proactively chasing contractors and clients for submissions and approvals, and assisting with the resolution of any disputes.
- Partner with Finance to align on contract and payroll requirements and support the timely processing of contractor payments.
- Support the Finance team with weekly contractor onboarding onto the time management system.
- Build strong working relationships across internal functions, including Recruitment Consultants, Sales Managers, Directors, Finance, Learning & Development and Systems.
- Support initiatives designed to enhance the overall contractor experience, including newsletters, referral schemes, merchandise, feedback programmes and contractor communications.
- Manage Giant (background screening) processes
- Manage Alvalabs /personality and logic tests) processes
- New starters with RPO client emails
- Reporting (extracting and populating numbers)
- Review jobs in Teamtailor and ensure accuracy
- Reactive and ad hoc contractor support for Hyperscale (any questions regarding contractors, invoices, timesheets, etc.)
- Contractors report
- Coordinate with marketing for candidate pack and other material
- Oversee and manage central inbox, aftercare emails being sent etc for RPO clients.
- Second tier supplier coordination (right now low, expected to increase)
